- Coordinate executive meetings for the BeLux management team and contribute to the organization of various events.
- Prepare notes, correspondence, and reports encompassing technical, legal, political, economic, and financial aspects.
- Conduct document research and compile project or study-related files, some of which may be confidential and strategic.
- Propose and maintain management procedures and tools, such as schedules, dashboards, and activity reports.
- Follow-up and management of customer complaints by registering complaints promptly and monitoring and engagement with key indicators to ensure effective resolution and customer satisfaction.
- Assist in coordinating travel arrangements for the Management Team and their staff, including preparing necessary documentation for their trips.
- Oversee the scheduling for the Regional Director and manage daily administrative tasks, such as handling phone calls and emails.
- Collaborate with the Belux Management team to develop internal communications that align with global strategies and local business requirements.
- Adapt global and frontline communications materials and activities to suit local audiences, ensuring consistency while addressing regional nuances.
- Support the Belux Management team in monitoring, analyzing, and evaluating activities that impact customer satisfaction and employee engagement, ensuring continuous improvement and alignment with strategic goals.
- Cultivate and manage relationships with external vendors and agencies, including printing houses, event agencies, advertising agencies, PR agencies, and graphic designers, to ensure seamless execution of communication initiatives.
- Organize internal and external events in accordance with global guidelines, utilizing innovative concepts and tools to enhance engagement and brand presence.
- Effectively manage resources and budgets for all communications-related materials and events.
- Bachelor’s degree in Business Administration, Communications or related field, or a relevant experience in a similar role.
- Strong project management skills with the ability to prioritize tasks and meet deadlines.
- Excellent interpersonal skills with the ability to collaborate effectively across teams and departments.
- Strong written and oral communication skills in French, Dutch & English, with the ability to obtain information, critique, edit, and communicate effectively.
- Proficiency in MS Office and other relevant software applications.
- Proficiency in using various marketing and communications tools and channels for effective communication, leveraging existing global processes, channels, and tools when applicable.
