Thank you. About the role: Executive Assistant at a credit risk management company. Seeking an experienced and highly organised individual to serve as an executive assistant to our Operations Director. The ideal candidate will provide comprehensive administrative and operational support to facilitate the efficient functioning of the operations of the business. Key Areas of Responsibilities: Right Hand Partner Establish and maintain effective operational procedures (management meetings and follow up) Provide strong administrative support, assisting OD in meeting preparations and ensuring all attendees are prepared Attending meetings, documenting identified actions, and maintaining the momentum of the operational teams delivery on these Ensuring the completion of the identified actions by those responsible Administrative Support: Manage the director''s calendar, schedule meetings, and coordinate appointments Handle correspondence, emails, and phone calls on behalf of the director Prepare reports, presentations, and documents as required Operational Coordination: Assist in planning and organizing operational initiatives, meetings, and projects Collaborate with various departments to ensure seamless communication and coordination Monitor project timelines and assist in tracking progress Requirements: Proven experience as an executive assistant or similar role, preferably supporting high-level management or directors Strong organizational and time-management skills with the ability to prioritize tasks. Excellent communication and interpersonal abilities Proficiency in office software (MS Office, Google Suite) and other relevant tools. Ability to handle sensitive information with confidentiality and discretion Bachelors degree in business administration, operations management, or related field (preferred) HR support Manage relationships with panel of recruiters. Screening resumes and shortlisting potential candidates Coordinating the onboarding process for new recruits Liaising with outsourced HR council on employee grievances, disputes, and disciplinary issues etc, experience in this field is preferred Liaising with outsourced HR council on all HR / Company policies and procedures Personal characteristics Highly organised, proactive, structured, and meticulous in follow-up Strong organisational skills reflecting ability to prioritise and perform multiple tasks with excellent attention to detail Focused, efficient and effective in managing multiple priorities Easily pivots to "sleeves-up" mode when the need for operational excellence is required Able to work independently and adapt quickly to changing priorities Comfortable with big picture as well as smaller detail, able to simplify the complex within the operational detail Willing to use their power and influence to lead from behind Tertiary Qualifications and Professional Experience Strong, entrepreneurially minded individual able to manage both downwards and upwards Minimum of 8 years work experience Experience in running medium to large sized enterprises or teams BusSci, BCom, BSc in Information systems, Computer Science, Business Administration etc. MBA or post-graduate qualification in Business Administration beneficial/preferred Track record of having translated shareholder decision-making throughout a business Grace under pressure Capable of succeeding in a fast-paced work environment with high expectations Thrives under pressure and able to offer new ways of working and address problems Passionate self-starter (strong internal locus of motivation) and driven Socially intelligent and trustworthy Strong interpersonal skills with the various South African cultures and personality types Strong capability to build trusting relationships across all levels of the organisation Politically savvy with fingers on the pulse of the organisation Confidential information handled with discretion Strong professional and positive demeanour Manage and maintain collection matters for retainer and ad-hoc collections clients, new and existing matters Retainer Clients and ad-hoc Collection Matters Check documentation for correctness, acknowledge receipt of LAA / Collection Advice accordingly Assess paperwork identify strengths and weaknesses in paperwork that will affect the collection process and ensure your initial assessment is the first note when loading the matter onto the system Advise clients immediately of shortcomings, ramifications, and suggested solutions where documentation is assessed to be inadequate or incomplete Contact Debtor telephonically, establishing the status of the debt and ability to pay and record who was spoken to and details of discussion Follow proactive debt recovery processes and approaches to obtain payment Understand all forms of security to assist with collection Keep collection notes updated with all actions taken or followed on the system Keep collection notes updated with any payment schedules or payments received on the system Monitor impact on insurance policies Fully understand the insurance timelines for debt collection and lodging claims deadlines from insurers. Must be aware and comply with insurers deadlines. Identify when a claim needs to be lodged and be able to advise the client of the process with confidence. Contact CGIC to discuss progress on collection matters or to address clients concerns when they arise. Apply an understanding of their internal process between Insurers, their collection division and their consultancy to ensure effective management of stakeholders. Deal with situations where a claim is rejected in a way that leads to a win-win for the customer and the service provider. Apply knowledge of client policies and related pricing Train clients on Cregalink as and when required. Compile a policy review report, with assistance from the companys insurance, for feedback purposes as and when required Request quotes on behalf of the client to determine the best options for clients. As and when a debtor requests a limit all relevant information must be requested from the debtor to enable a thorough assessment Apply knowledge and make recommendations regarding the potential impact of the special conditions.The Recruitment CouncilRecruiter
