Responsibilities
The ideal candidate must ensure that they act as an ambassador for the brand image to candidate executives as well as to clients. This person will work in close collaboration with their assigned partners as well as the various consultants participating in the executive search mandates for which the partners are responsible.Main responsibilities
  • Be a key and effective business partner for local associates;
  • Experience in coordinating, organizing and modifying the schedule of client meetings, interviews and internal associate meetings ( outlook)
  • Coordinate and monitor the sharing of confidential information between clients and associates;
  • Participate in the production of research documents and enter the associate's meetings into the database;
  • Participate in client meetings and support associates by collecting key information in addition to preparing reports/presentations/submissions;
  • Coordinate meetings, calls, follow-ups and meetings with associates, taking into consideration their availability, their time management preferences and the specific expectations of the research mandates;
  • Take part in office life, develop relationships based on support, collaboration and added value;
  • Contribute to the team effort by providing support to colleagues in the administrative team when necessary.
Qualifications
The ideal candidate will have to reconcile the administrative support of their associates, the daily management of the administrative needs of research mandates.Experiences and skills
  • Have a minimum of 4 years of experience in an executive support role or other similar positions in project management;
  • Have a good command of the Microsoft Office Suite, an ability to master and understand an agile database;
  • Have an interest and the ability to learn new tools and possess a certain technological agility;
  • Ability to develop documents respecting the brand image sharing key information with an attractive and presentable container;
  • Have a professional attitude and ease in contacting different influential executives;
  • Strong written and verbal communication skills;
  • Multitasking and time management skills, with the ability to prioritize tasks;
  • Bilingual French-English as the candidate will be speaking in both languages on a daily basis.

  • Ability to be resourceful and proactive with a natural approach to problem solving and remain calm in “urgent” situations;
  • Have excellent relational skills with clients, candidates and colleagues;
  • Have excellent judgment and be tactful during more difficult communications;
  • Be comfortable communicating verbally with several external parties in the organization, demonstrating listening skills and professionalism;
  • Have a great sense of organization;
  • Have an eye for beautiful presentation and attention to detail;
  • Ease of navigating in a fast-paced and dynamic environment;
  • Possess the ability to remain calm and collected with good resistance to stress;
  • Know how to be proactive.
