The File Clerk plays a vital role in maintaining the organized and efficient operation of our Accounting Department at PACIV. This position involves accurately sorting, filing, and retrieving documents, records, and other materials. The File Clerk will work closely with the Accounting Leader to ensure that information is stored and accessible on time.Key Responsibilities:
- File Managing: Organize and maintain physical and digital filing systems, ensuring that documents are labeled, categorized, and stored appropriately for easy retrieval.
- Document Sorting: Sort incoming documents, based on predefined categories, dates, or other criteria.
- Data Entry: Input and update information in databases or document management systems accurately and efficiently.
- Record Keeping: Maintain records of file activities, including tracking file movements, updates, and retrievals.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and maintain confidentiality protocols at all times.
- Communication: Collaborate with colleagues across departments to facilitate efficient file management processes and address any inquiries or concerns regarding files.
- High school diploma or equivalent qualification.
- Experience in file management, document processing, or related administrative roles preferred.
- Proficiency in using office equipment such as scanners, photocopiers, and computers.
- Strong attention to detail and organizational skills.
- Ability to work independently with minimal supervision and as part of a team.
- Commitment to maintaining confidentiality and handling sensitive information with discretion.
