Schedule: Full Time, 35 hours/week, approximately 3 days working onsiteThis role reports directly to the Associate Director of Special Events and is part of the larger strategic and efficient cross-functional Enterprise Events team that is responsible for the successful delivery of donor, fundraising, member, prospect, rental, and other internal and external special events.The Donor Events Production Manager is responsible for the planning and execution of a robust program of events for SFMOMA donors and members, including opening events for special exhibitions, virtual programs, and fundraising events. \nResponsibilities & Duties
  • Manages production and execution of exhibition opening events, stewardship events, member events, fundraising events, prospect events, and virtual events. Helps support the production of fundraising or other special events as needed.
  • Supervises the Donor Events Coordinator and their essential responsibilities including event marketing, communications, and guest list tracking.
  • Manages event budgets including tracking event expenses in collaboration with Exhibitions and Membership teams.
  • Manages contracting and insurance processes for special events, in alignment with SFMOMA's requirements per Legal.
  • Manages relationships with external event vendors, production companies, caterers, etc.
  • Works closely with vendors and SFMOMA Operations team in event-specific permit procurement as necessary.
  • Determines appropriate logistical techniques for the successful and safe execution of all in-person special events in partnership with SFMOMA Operations team and Exhibitions team.
  • Leads production and planning for virtual/hybrid event programs including troubleshooting audio/visual technology on the back end during events.
  • Attends internal logistics meetings and leads logistical communication with internal stakeholders.
  • Manages risk and ensures vendors adhere to SFMOMA protocols and policies.
  • Manages the flow of information between vendors and SFMOMA staff.
  • Creates production timelines and event floor plans in partnership with vendors.
  • Oversees load-in and load-out for on-site special events and other Enterprise Events as assigned.
  • Manages on-call event staff for day-of event support, including but not limited to facilitating briefings, assigning responsibilities, and serving as main point of contact on-site.
  • Schedules and oversees internal volunteer staff at events when needed; leads internal briefings.
  • Develops relationships with new vendors as needed and researches potential vendors for events.
  • Assists with special events, membership events, and rental events as needed.
  • Performs other related duties as assigned.
Responsibilities & Duties
  • Bachelor's Degree, or equivalent work experience.
  • Minimum of five (5) years' experience in special event production, and two (2) years working in the arts or for a non-profit.
  • Proven ability to manage projects and complex events from creation to completion.
  • Ability to build consensus among team members and balance multiple concurrent priorities.
  • Strong interpersonal skills; team-minded workstyle.
  • Demonstrates proactivity in all areas of workstyle including project management and communication with supervisors, direct reports, and internal museum departments.
  • Excellent time management, follow-up skills, and the ability to meet deadlines.
  • Excellent communication and organization skills with keen eye for detail.
  • Ability to supervise and direct a variety of office staff, volunteers, and vendors in the production of events.
  • Ability to work positively and effectively with curatorial department, artists, trustees, donors, consultants, and event vendors.
  • Experience producing virtual events or hybrid events preferred.
  • Existing relationships with event vendors preferred.
  • Experience working with curatorial staff a plus.
Working Conditions
  • Ability work at museum for events and event preparation.
  • Ability to lift up to 30lbs required.
  • Willingness to work flexible hours, as evenings and some weekend hours will be required.
