The Site Controller will successfully and ensure an effective operational and administrative efficiency ratio. Ensure, further, that operational expenses are maintained within budgeted parameters for our clients operations in Cape Town, Western Cape for a 2-month period.ROLE AND RESPONSIBILITIESOperationalEnsure that all Standard Operating Procedures are known, understood, documented, in place,managed, maintained, and enforced.Understand and know how to make use of the various systems in the businessKeep all filing and administration up to dateMonitor the processes of scanning, manifesting, and authorising of various In-house documents and dispatching of freightEnsure the effective utilisation and optimisation of vehiclesEnsure vehicles are planned and ordered according to specific requirements and communicated to relevant partiesEnsure all freight is correctly processedRectify any discrepancies from the receiving branch within the allocated time frameOrder stationery timeously and ensure adequate quantities are orderedReport any variances in the DOT and TATKeep an awareness of operational difficulties and advise all parties accordinglyEnsure quality reports conform to the requirements of the customerEvaluate and follow up on service levelsLiaise with various departmentsEnsure KPIs are of the correct criteriaInform the customer immediately if there are any delivery delaysHandle and document all queries and customer complaintsMonitor and compile daily and monthly reportsAct on all non-deliveries regarding NDDs and ensure out on deliveryManage and control RLOG returns and collections and ensure quality proof of delivery returned to RLOGManage the POD process, report daily and consolidate at month endEnsure accurate record keeping and maintain easy access to historical dataReport any shortages or damages to the branches dailyOpen a handover register and ensure the driver signs for each PODEnsure customer satisfaction both internally and externallyLiaise with the outbound department to source sufficient resourcesStaff Management:Manage leave, time, and attendance of all staffDrive skills development of staff through training and other initiatives as regularly as required and keep signed records on fileIdentify problem areas and initiate IR and HR processes as requiredEnsure that all HR and payroll records are in place and maintained (job profiles, competencies,appraisals, wages etc)Ensure that all staff are well managed to improve productivity, reduce overtime and ensure that staff are motivated and productive.Quality, Health, and Safety:Ensure that customer KPIs are known, understood, measured, managed, maintained and reported on monthlyEnsure continuous improvement receives focus and is implementedEnsure proactive actions are taken within the operationEnsure standards of Health and Safety are maintained and that the requirements of the Occupational Health and Safety Act are conformed toEnsure that all monthly checks are carried out as requiredEnsure dress code is followed in accordance with company Standard Operating ProceduresMaintain housekeeping standards dailyCOMPETENCIESMINIMUM REQUIREMENTSMatricDegree/diploma in supply chain/logistics field beneficial3 years relevant experience within the logistics environmentLeadership/managerial skillsAdministrative capabilitiesComputer skillsAbility to identify and solve discrepancies in terms of stock condition and quantityGood communication skillsPlanning skillsKNOWLEDGEWorking knowledge of In-house procedures and practicesStandard Operating Procedures pertaining to the In-house operationKnowledge of the documentation used in the operationCustomer requirements including cut off times and KPIsGeneral knowledge of Code of Conduct and HR policiesInternal and external services pertaining to the operationOccupational Health and Safety Act 1993 and the requirements thereofISO 9001
