Our philosophy of empowering people to be the best they can be is our foundation of success.The Project Administrator (PA) assists the Project Manager and other team members (Superintendent, Project Engineer) in day-to-day activities related to the successful completion of the project(s) at hand. The PA also works with several other departments that include Accounting, Estimating, and Marketing, as well as external parties that include owners, architects, and trade partners.Responsibilities:
  • Address daily e-mail messages based on priority. Note: Your E-mail is your “In Box”
  • At start-up of project prepares file folders for office and field (if required)
  • Ensures Superintendent has what is needed to operate in the field
  • Tracks all sent contracts for return and follows up with Trade Partners
  • Upon receipt of signed contracts, reviews for mark-ups and forwards to Project Manager and Superintendent for his/her review
  • Returns fully executed contract to Trade Partner and copies to the field
  • Logs in executed Subcontract Agreements in COINS
  • Processes Trade Partner change orders, which include typing of change order, logging in Trade Partner Substat Log, forwarding to the proper parties and filing electronically
  • Assists Project Manager in preparation of monthly Owner invoice
  • Reviews Trade Partner monthly billings confirming that compliance documents are up-to-date; compare contract amount in COINS with Trade Partner monthly billing, review documents associated with Stored Material
  • Handle job specific tasks associated with monthly Owner billing
  • Assists Accounting in following up on outstanding lien waivers in preparation for Trade Partner payments.
  • Processes Owner Change Orders to include:
  • Compilation of approved Proposal Change Orders (PCOs)
  • Dissemination of all costs associated with PCOs along with change orders to Trade Partners
  • Run job specific reports from COINS as needed
Qualifications:
  • Strong written and verbal communication skills
  • Competency in Microsoft Office (Outlook, Excel, Word, SharePoint)
  • Attention to detail with billings and change orders
  • Strong organization and document management skills
  • Skilled at supporting multiple project managers
  • Experienced with spreadsheets and AIA billings
  • Ability to build and maintain positive relationships with our trade partners
  • Positive attitude and professional customer service skills
