Executive Assistant IIWho you are:As an Executive Assistant at Catholic Medical Center, you will provide high-level administrative support to the Vice President of Finance/Chief Financial Officer, Chief Medical Officer, and Senior Vice President/Chief Operating Officer. You are a detail-oriented and organized individual who thrives in a fast-paced environment. Your attention to detail, strong communication skills, and ability to maintain professionalism and confidentiality make you an indispensable asset to the senior leadership team.What you’ll do:
  • Coordinate office communications in a timely manner. Screen communications to determine appropriate disposition or follow up. Consult with and inform appropriate person(s) of situations requiring attention. Answer incoming telephone calls, screen, and respond or refers to appropriate person(s) to respond. Compose and type correspondence as requested.
  • Maintain the Executives’ calendars using Outlook, ensuring accuracy and timely scheduling
  • Manage several Board level committees and meetings, which includes: scheduling meetings, drafting and distributing agendas, coordinating and distributing presentations, and attending the meeting to take and distribute minutes.
  • Act as the Executives’ representative in handling internal and external constituents.
What you’ll bring:
  • Bachelor’s degree in administration or relevant field, with proven experience in corporate administrative settings.
  • Minimum of three years administrative experience supporting senior leadership, preferably in healthcare.
  • Proficiency in Microsoft Office suite and strong calendar management skills.
  • Excellent organizational, interpersonal, and communication skills.
  • Ability to work independently in a fast-paced environment, efficiently managing multiple tasks and competing priorities with ease, and adapting quickly to changing circumstances while remaining focused on achieving objectives amidst tight deadlines.
  • Take a proactive approach to problem solving with strong decision-making capabilities.
  • Flexibility to adapt to changing workloads and unexpected situations.
