In this busy and varied role, you'll play a vital role as the 'face' of the Transport Services team, providing high-quality support and administration.Reporting to the Business Support Manager (BSM), you'll be responsible for ensuring a wide range of reception and administration support functions, such as processing information, data entry, minute taking, customer service, and administration support across the region, are carried out to a high standard and play a key role in ensuring the smooth function of our office environment. Your strong collaboration skills will also be required daily in this role as you will be liaising with a number of stakeholders and providing support to the Wellington depot.Along with this, you will also
  • Be the first point of contact on reception and assist with the phone enquiries that come through reception for not only the Transport division but Spotless, Utilities and the Central Management Team.
  • Assist with aspects of the pay run, ensuring Daily Job Records (DJR) and leave forms have been submitted correctly to our payroll team and processes followed correctly.
  • Assist with business support month-end tasks and procedures, ensure we meet our deadlines.
  • Ensure accurate data entry and management by collating, recording and working with databases and SharePoint sites.
  • Support and adhere to policies and procedures. Help ensure all paperwork is collected and processed in a timely manner.
  • Ensure documents are filed accurately, and our systems are kept up to date.
Nga pūkenga matua | Important SkillsThe role offers responsibility and autonomy, so you must be highly organised with plenty of initiative. You'll be pleasant and friendly but not afraid to speak up when needed. There'll be multiple deadlines and cut-offs to meet in a month, hence it is a must for you to be deadline-focused and have spectacular time-management skills with solid attention to detail. Along with these, you will also have:
  • Strong interpersonal skills and confidence in building and maintaining relationships at all levels
  • Experience in MS Office suite, particularly Excel and Word.
  • Experience in a similar or a client-facing customer service role with an ability to juggle between multiple tasks
  • Knowledge of JD Edwards (or similar could be an advantage)
