You’ll be responsible for a wide range of tasks that contribute to the overall efficiency and organization of our office. This multifaceted role requires excellent organizational skills, attention to detail, and a proactive approach. As an Office Coordinator, you’ll play a vital part in maintaining a positive and efficient work environment.SALARY RANGE: $29.00 - $32.00 hourly, $60,320 - $66,560 annually (companywide)BENEFITS:

JOB RESPONSIBILITIES:
  • Book candidate and employee travel as needed – includes airfare, uber management, and hotels.
  • Provide front desk coverage.
  • Administrative Projects
  • For example: Setting up templates, strike letters to the union, surveys, new system uploads, etc.
  • Document control/retention.
  • Includes archiving, meeting minutes, process documentation, etc.
  • Maintenance of office hotel stations
  • Issuing access badges and parking passes to personnel (and collecting if employees leave)
  • Fielding employee requests and questions
  • Ordering new furniture when needed/submitting warranty claims on damaged items.
  • Office Maintenance:
  • ordering supplies/food
  • submitting work tickets
  • buying new items when needed
  • keeping conference rooms stocked and clean.
  • Manage Employee Welfare Gifts
  • Purchase wedding/baby/retirement gifts.
  • Plan baby/wedding showers and retirement parties.
  • Oversee front desk budget for sympathy flowers and get-well soup.
  • Coordinate project-based work as needed.
  • Office tidying
  • Keep conference rooms and community spaces stocked and exceptionally clean.
  • Manage conference room calendars.
  • Provide overflow assistance for all departments.
  • Support of WIC/CIT programming
  • Calendar management – making sure our new global calendar is successful, helping people use it/navigate.
  • Event Support – send invites, work with marketing on graphics, setup, clean up, venue research, décor sourcing.
  • Support Sustainability on their rollouts/surveys/carbon accounting.
QUALIFICATIONS:
  • Minimum 1 years’ experience providing support at a high level.
  • Proficient computer skills and in-depth knowledge of relevant software such as Microsoft Office Suite.
  • Knowledge of standard administrative practices and procedures.
