- Responsibilities include overseeing Customer Service and working closely with Guest Services to resolve guest issues, as well as direct contact with guests.
- Manage all repairs to ensure equipment is serviced, returned and re-deployed to the ships in a timely manner.
- Ensure End Of Cruise reports are tracked and filed and follow up with the ships Photo Managers to ensure they are in full compliance.
- Work closely with Guest Services, Accounts Payable, Purchasing, Logistics and external vendors on a daily basis. Assist in the implementation of new procedures while pro-actively monitoring all areas of quality control.
- Process incoming deliveries and coordinate inventory supply needs for ships.
- Manage invoices through Accounts Payable, ensure timely payment and record keeping with follow up to vendors and contractors.
- Manage shipboard Photo Managers for staff cameras, studio equipment and management of camera / studio repairs.
- Oversee shipboard uniforms sizes and ordering, plus ongoing management for replacements.
- Manage Photo Software archive process for ensuring cruise data is received, logged and expedited to the Miami office for redistribution to the vendor.
- Manage Silver Recovery Chain of Custody for SFC's, ensuring shipping labels are issued for said location of hazardous materials from ship to final destination. Units are logged and tracked.
- Maintain inventory controls for ship supplies, equipment and retail products fleet wide and on shore.
- Review and code invoices for accuracy and completeness.
- Coordinate the timely delivery of equipment to vessels.
- Manage service and repair technician visits to vessel from various equipment manufacturers. Follow-up on repairs, installations, ordered parts and related issues.
- Receive shipments, ship overnight and special deliveries. Maintain and reconcile department files.
- Coordinate meetings to include external contacts local and abroad. Prepare detailed travel agendas for all travel domestic and international. Coordinate travel arrangements including extensive travel, verifying corporate policy is adhered to for all hotel bookings, car rentals and transportation.
- Review and organize presentation material for meetings. Communicate special meeting needs in advance to both internal and external attendees. Assist with preparation of status reports for the Director Photo Operations for weekly meeting.
- Assist with Revite projects, including New Builds as assigned.
- Work closely with Revenue Operations to secure cabins for both internal and external vendors.
- Liaise with Guests Relations for pre and post cruise guest issues relating to items purchased from the Photo Gallery, Private Studio and Wedding Photography. Follow up with vendor suppliers and guests to ensure complete customer satisfaction.
- Maintain and reconcile ships reports together with fleet tracking sheet for End Of Cruise reports this includes Inventory reports, Payroll Summary, Outsourced Order Tracking, Image Count Report, Private Studio Report, Monthly Studio Equipment Inventory, Monthly Camera Inventory, Photo Equipment Data Back-ups, Photo Software Archiving Files, Guest Services Tracking Sheet and the Silver Recovery Chain of Custody Shipping Labels.
- Ordering of ships supplies and managing crew uniform sizes / ordering to ensure replacement uniforms are delivered within a timely manner and New Hire uniforms are in place prior to contract start date.
- Tracking of ships equipment inventory and ensuring replacement equipment is received within a timely manner to minimize any disruption to the onboard operations. Work closely with the repair companies to track, receive and ensure equipment is turned around quickly and efficiently.
- Receiving of camera returns and work with vendors to create RMA's for return shipments and credit invoices.
- Scanning of all vendor invoices and liaise with Accounts Payable to track payment process and communicate with vendors on payment dates.
- Create shipping labels for Photo Managers to offload and return Silver Recovery columns to refining company and maintaining chain of custody records.
- Coordinate service and repair technician visits to vessel from various equipment manufacturers. Follow-up on repairs, installations, ordered parts and related issues.
- Manage cruise images archiving program on a weekly basis, receive archive USB's from the ships and log receiving prior to sending to storage provider for uploading to servers.
- Perform other job related functions as assigned.
- High school graduate (or equivalent) College degree in Business Management or related field is a plus
- Minimum of three years in Photo Management and seven years of Photo Operations experience
- Shipboard Photo experience strongly preferred
- Must be willing to travel frequently and work flexible hours
- Intermediate to advanced knowledge in Microsoft Excel, Word, and PowerPoint are required.
- Effective communication and interpersonal skills with ability to manage remote team.
