About Ecology and Evolutionary BiologyThe Department of Ecology and Evolutionary Biology (E&EB) has a distinguished faculty of 32 whose interests range from population and community ecology to biogeochemistry and ecosystems to evolutionary biology and genetics. The Department, part of both the College of Agriculture and Life Sciences and the College of Arts and Sciences, has a broad but unified mission in teaching and research: broad in that the interests of the faculty span many levels of organization encompassing genes, genotypes, phenotypes, populations, communities, and ecosystems; and unified in that each of these levels interacts with all of the others. Detailed appreciation of the processes operating at all levels of organization is fundamental to ecological or evolutionary understanding.Learn more here:The OpportunityThe Department of Ecology and Evolutionary Biology is seeking a highly organized and motivated individual to join our administrative team as the Chair’s Assistant. This pivotal role supports the Department Chair, Administrative Manager, and Facilities Manager, ensuring the smooth operation of our department. The ideal candidate will excel in a dynamic environment, managing multiple responsibilities with autonomy and professionalism. Key responsibilities for this role are as follows.Administrative Coordination:
  • Coordinate information and materials for the Chair’s office.
  • Manage the Chair’s calendar, appointments, and departmental inquiries.
  • Handle highly sensitive and confidential information with discretion.
  • Act as liaison between the Chair and department members, visitors, and other university offices.
  • Attend meetings and prepare minutes as necessary.
Human Resources Support:
  • Oversee student hiring processes, including appointments, documentation, and system entries.
  • Manage appointment processes for non-academic staff, postdocs, interns, and visitors.
  • Assist international staff and visitors with visa requests and related paperwork.
  • Serve as the Payroll Representative for the department.
Chair, Administrative Manager, and Facilities Manager Support:
  • Address telephone and walk-in inquiries.
  • Maintain databases and spreadsheets for various departmental needs.
  • Assist with strategic planning retreats and departmental reviews.
  • Produce correspondence, reports, and other documents.
Academic Support:
  • Assist search committees with faculty and postdoctoral scholar recruitment.
  • Coordinate advertising, application tracking, and candidate interviews.
  • Support promotion, reappointment, and tenure review processes.
Grant Support:
  • Assist PIs with post-award management, including no-cost extension requests and budget revisions.
Departmental Assistance:
  • Organize departmental events and track awards and nominations.
  • Manage donor activities and draft correspondence for fundraising efforts.
  • Maintain departmental mailing lists and special mailboxes.
Professional Development:
  • Pursue educational seminars and training to stay updated on job requirements.

  • Associates Degree with 2-4 years’ relevant work experience, or an equivalent combination of work experience and education.
  • Must have excellent service skills and demonstrated ability to communicate with a broad range of people and to work under pressure with interruptions.
  • Ability to take initiative and make decisions independently using sound judgment.
  • Attention to detail, appreciation for and ability to adhere to deadlines, effective organizational and multi-tasking skills, advanced writing skills with accuracy in spelling and grammar, and excellent verbal communication skills are critical.
  • Effective problem solving, creativity and the ability to work well within a team of professionals are required. Proven history of reliability and the ability to maintain confidential information.
  • Demonstrated ability to troubleshoot, adapt to and make recommendations for changes/improvements.
  • Must be able to work independently while supporting the efforts of an overall team.
  • Proficiency in, or ability to learn, a variety of office applications (Word, Excel, PowerPoint, database management, calendaring, and communication software programs.)
  • Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing
