With Multiple Divisions and geographical locations, we have the ability to promote and train from within as well as develop employees into many different roles!
- Responsible for all timely payments of Federal and State Tax Deposits
- Establish new State Withholding accounts, state unemployment, and other foreign jurisdictions
- Review Salary and Hourly payroll before processing each week
- Balance payroll accounts each week after salary and hourly posting. Update weekly, monthly, and yearly payroll reconciliation spreadsheet. Update General ledger after payrolls have posted
- Submit all State and Federal Quarterly reports to meet deadlines and reporting requirements
- Provide reporting and support information pertaining to payroll and tax liability when required
- Send AP and Payroll ACH files to First Guaranty Bank weekly. Submit AP weekly check file to FGB’s Positive Pay system. Confirm daily that no AP checks have hit First Guaranty Banks positive pay report. Investigate any check that hit positive pay report before clearing
- Assist and backup Payroll Specialist as necessary
- Assist and backup entering Project Manager’s extra time
- Back up Account Payable clerk
- Maintain monthly notes on financed equipment and vehicles related to Corporate Insurance
- Maintain monthly Worker’s Compensation reports by employee and class code. Prepare Signal F-Code report each month which is due by the 10th of the following month. Submit ACH request form to AP for processing
- Submit reports to Insurance Broker with updated gross payroll and employee count by class code for annual renewal of worker compensation policies
- Prepare monthly Balance Sheet schedules to verify activity in Assets and Liability accounts
- Enter all Corporate Business Insurance policies at renewal into Prepaid Insurance Spreadsheet to determine the monthly insurance amounts to amortize during the fiscal year. Post journal entry to amortize prepaid insurance on a monthly basis. Code and submit all corporate insurance invoices to AP for processing of payment. Monitor activity in the General Insurance General Ledger account.
- Prepare monthly Salary accruals and enter into accounting software
- Participate in various Corporate audits (year end, taxes, workers comp, 401k census due in February, etc…). Provide supporting reports and information
- Prepare annual Texas Franchise Tax return and submit online to the State of Texas
- Maintain labor burden calculation and income tax liability information for all States and foreign jurisdictions in which Acadian conducts business
