- In coordination with the Chief of Staff (CoS), create a welcoming environment both virtually and in-person for ZeroFox executive team members, employees, Board members, customers, and guests.
- Prioritize and manage directly with the CoS on multiple projects simultaneously, following through on issues in a timely manner.
- Provide high-level administrative support to multiple executive team members, e.g. handle tasks of a highly confidential nature, travel and lodging, itineraries, personal expense reports, calendars, and company meetings and events.
- Work closely with the CoS to establish, refine, and execute upon procedures around the executive team, the company headquarters and executive maintenance, supplies / ordering, and policy. Makes proactive recommendations to policy.
- Plan internal and external meetings of varying sizes and sensitivities.
- Maintain a wide variety of complex electronic document files and records.
- Perform multiple tasks to meet changing team needs and work on miscellaneous projects, as assigned.
- In partnership with CoS, leads the executive team admins and office staff to schedule meetings, align calendars and stay up to date on cross functional projects.
- Create regular reports and update internal databases.
- Run errands that require use of a timely, on demand vehicle.
- Successful experience providing support to a fast-paced team of executives, typically obtained within 5+ years.
- Superior organizational and communication skills, with detail orientation.
- Proven ability to participate in highly confidential discussions and maintain the complete trust of all those with whom they interact.
- Ability to exercise discretion and tact with sensitive information.
- Ability to prioritize and make sound judgment calls when needed.
- Ability to work under pressure and solve problems.
- Proactivity, ability to anticipate executives' needs.
- Proficiency with Google doc, sheets, slides, and calendar.
- Ability to arrive early, stay late or work weekends as required.
- Consummate professionalism in manner, dress, and communication; excellent verbal and written communication skills.
- Solid problem-solving, multitasking, organizational ability.
- Ability to pay attention to detail and prioritize multiple high priority projects
- Ability to work independently.
- Google Calendar, Google Drive, and Zoom Fluency
- Events planning experience
- Paralegal experience
- Previous work at a technology firm
- 4-year college degree
