- Act as the point of contact between the Beasley site executive leadership and internal/external clients
- Maintain calendars, arrange meetings and appointments, and provide reminders.
- Make travel arrangements, and file expense reports for Executive leadership.
- Produce reports, presentations and briefs as deemed necessary.
- Develop and carry out an efficient documentation and filing system.
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive's behalf.
- Performing minor accounting duties
- Organizing meetings, including scheduling, sending reminders, and organizing catering request when necessary
- Welcoming Executive Leadership visitors and identifying the purpose of their visit before directing them to the appropriate department
- Managing the executive's calendar, including making appointments and prioritizing the most sensitive matters
- Follow up with clients about travel plans and adjust as needed, including coordinating with the client's point of contact as the event approaches.
- Bachelor's degree desirable; relevant experience and additional qualification as personal assistant would be considered an advantage in leu of degree.
- Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position
- Full comprehension of office management systems and procedures
- Excellent knowledge of MS Office (specifically Excel and PowerPoint)
- Proficiency in English
- Exemplary planning and time management skills
- Up to date with advancements in office gadgets and applications
- Ability to multitask and prioritize daily workload.
- High level verbal and written communications skills
