Salary: $65k-$85k (Negotiable)Job Summary:
Our client is seeking a dynamic and self-motivated individual to join their team as an Executive Personal Assistant. This role will involve providing comprehensive support to the family across various areas, including household management, project coordination, vendor management, and tech troubleshooting. The ideal candidate will be proactive, detail-oriented, and capable of working autonomously with minimal supervision.Job Responsibilities:
  • Manage household schedules, including professional, personal, and children's activities, ensuring all commitments are organized and executed efficiently.
  • Oversee household staff, including nannies, drivers, tutors, housekeepers, etc., ensuring they are aligned with the family's needs and schedules.
  • Schedule household staff, coordinating their schedules and ensuring adequate coverage for all tasks.
  • Coordinate and schedule vendors such as construction contractors, landscapers, and other service providers, ensuring timely completion of projects and maintenance tasks.
  • Assist in managing the family's non-profit businesses, including event planning, fundraising oversight, and other related activities.
  • Negotiate rates with vendors, obtain quotes, and liaise with contractors and subcontractors as needed.
  • Handle administrative tasks such as filing, scanning, and organizing documents to maintain an efficient workflow.
  • Perform errands and make purchases as required, demonstrating excellent time management and prioritization skills.
Qualifications:
  • Bachelor's degree or equivalent experience preferred.
  • At least 5 years of experience in a similar role, demonstrating a track record of successful project management and coordination.
  • Proficiency in Spanish preferred.
  • Experience making staff schedules and overseeing projects from inception through completion.
  • Excellent organizational and time-management skills.
  • Strong negotiation skills and the ability to multitask in a fast-paced environment.
  • Ability to work independently and collaboratively with a team.
  • Excellent communication skills, both written and verbal, with strong attention to detail.
  • Tech-savvy with experience in troubleshooting minor issues such as printer connectivity.
  • Proficiency in project management software such as Monday.com.
  • Self-starter with a proactive approach to improving household organization and efficiency.
  • Problem solver with the ability to manage various personalities and work collaboratively with others.
