For upcoming projects, we are looking for HR Project Admin Assistant for administrative support
This is a Temporary position, can be duration 1-2 years.Responsible for administrative support in a project.Tasks:
  • Assist with start-up procedures and systems, based on the administrative requirements in the contract
  • Handling electronic correspondence and filing
  • Assist with coordination of information with employees/colleagues, client and sub-contractors
  • Assist with reviewing of incoming correspondence and documents
  • Assist with collecting input to weekly and monthly reports
  • Handling of travel arrangements (booking of flights, hotels, rental cars, visas, etc
  • Handling meeting- and event arrangements
  • Assist with updates of organization charts
  • Support matters related to office layout, equipment and services
  • Follow-up vacation lists
  • Assist with mobilization- and demobilization of project personnel
  • Assist with input to project personnel data system (MPP)
  • Submit IT equipment, both hardware and software, and follow up IT costs
  • Have knowledge of project duties, scope, organization and progress
  • Transfer knowledge by training and coaching others in admin systems and routines
Knowledge/skills required:
  • Minimum 3 years experience from project work, admin project tasks and client contact
  • Excellent oral / written communication skills in English and Norwegian
  • Excellent IT knowledge and use of collaboration tools (e.g. MS Office, Planner
  • SharePoint, ProArc/Time, SAP, Teams)
  • Experience with client contact Service attitude, proactive, flexible and customer minded
  • Efficient and capable of handling many work tasks at the same time
Educational background:
  • This position requires either college/university degree and/or experience from project work, including high school
