  • Assisting and supporting the Head of the Department in planning meetings, business trips, transportation, hotels, and flights, as well as issuing expense claims.
  • Assisting and supporting visitors by coordinating with external parties to arrange for visas and work permits, organizing all equipment (safety shoes, canteen cards, access rights, etc.), transportation, dining, and other responsibilities related to business matters.
  • Assisting in preparing reports, presentations, and other business papers.
  • Organizing both internal and external training for all indirect colleagues in the Injector Business Unit. Assist with the planning and implementation of corporate events and staff engagement initiatives.
  • Being responsible for administrative activities of the production department (Injector Business Unit), such as document control connected to the production department, order stationery, and office equipment (printer, coffee machine, etc.).
  • Managing office supply inventories and contact maintenance if needed.
Qualifications
  • Proven experience as an administrative secretary or in a comparable administrative function.
  • Proficiency in secrecy and sensitive information management, as well as strong English communication abilities.
  • Strong coordination, communication, and negotiation skills, as well as high responsibility and the ability to work under pressure.
  • Excellent organizational and multitasking abilities.
  • Problem-solving and decision-making skills to efficiently address administrative challenges.
  • Familiar with the Production Department.
  • Knowledge of office software and equipment such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work with minimal supervision and fulfil deadlines.
