Executive AssistantAltheda Medical Center offers multi-specialty medical services on a mission to provide high-quality and easily accessible care. Our starting focused offerings are consisted of primary care, special medical services, occupational health, behavioral health, wellness and aesthetics. Our tech-integrated and patient-centered focus aims to redefine the traditional healthcare delivery standards practiced in conventional outpatient settings.We are looking for a Executive Assistant to provide administrative support to leadership executives on a daily basis utilizing skills of tact, diplomacy and confidentiality in a professional manner.Responsibilities:
  • Arrange and coordinate all written correspondence, schedules, etc., for the leadership executives
  • Update manuals and detailed information as required to ensure current information is distributed accurately to the board
  • Ongoing maintenance of hard copy and electronic records on a daily basis
  • Compose and type correspondence, reports, memos and other materials for signature as required from straight copy, forms or rough draft
  • Attend board meetings, record and accurately transcribe minutes for distribution
  • Maintain office calendars for the leadership team
  • Schedule and complete arrangements for meetings, appointments, meeting rooms and conferences
  • Assist the leadership team with basic information research, prepare and arrange charts, graphs, audio-visual materials and other data as needed
  • Review, screen, route and highlight main issues
  • Match mail to files giving priority to urgent mail
  • Maintain tracking system for correspondence and projects
  • Keep the leadership executives apprised of the status of projects (pending and active)
  • Monitor progress of projects and adherence to project deadlines
  • Place, answer and screen calls to visitors for the the leadership team
  • Greet and escort visitors
  • Provide tours as required
  • Arrange and coordinate transportation, travel, hotel reservations, meals, written materials and meeting details for executives, board members and staff
  • Proofread typed materials for grammar, spelling and structure
  • Prepare and organize information and necessary supplies for meetings
  • Ensure that office area is kept neat and clean on a daily basis and order supplies for the leadership team as needed
  • May be required to deliver or pick up documents and parcels, make trips to bank, post office, etc
  • May serve as member of various staff committees
  • Ability to provide own transportation to perform principal responsibilities
  • Professional office environment with conversational noise levels
  • May require evening and weekend work upon mutral discussion
Qualifications:
  • In Patient and/or Out Patient Clinical or Administrative Experience (Preferred)
  • Proficient with Microsoft Office products, including strong knowledge of Excel
  • Excellent communication skills, both verbal and written
  • Exceptional organizational and problem-solving skills
  • Strong knowledge of office procedures
  • Ability to handle multiple tasks simultaneously
  • Strong attention to detail
  • Ability to prioritize and work independently
  • Ability to type 40-60 words per minute
  • Ability to handle confidential material and exercise initiative and sound judgment
  • Ability to work effectively with the public and coworkers in a pleasant and courteous manner
  • Physical mobility: sitting, standing, walking, lifting/carrying objects up to 30 pounds; manual dexterity to operate keyboard
  • Mental effort: reading, writing, analyzing and visualizing
  • Sensory requirement: Ability to communicate and respond to staff, ability to communicate and respond both in person and over the phone to the general public
  • Ability to work under stress
  • One-two years' relevant work experience
