Our team is a critical part of reaching that objective.We are currently looking for an Executive Assistant to support our senior leadership as needed. The ideal candidate will be an independent professional and responsible worker, with exceptional communication skills and meticulous attention to follow up details. This person will provide high-level administrative support to the CEO and other members of the Executive Management Team, including day-to-day tasks, document management, and contact with C-Suite Executive-Level clients. Knowledge of compliance is helpful as well as support in a Sales driven environment.Objectives of this role
  • Support the CEO in all day-to-day tasks, professional and personal scheduling, and communications; provide support to the Executive Management Team, as requested.
  • Management meeting minutes and follow up.
  • Prioritize document management with the CAO to ensure ISO compliance and timely dissemination of key information within all departments Responsible for all corporate document management.
  • Work with the CEO to provide professional, accurate and timely high-level responses to clients.
  • To build this new role and create a unique footprint within our organization.
Essential Responsibilities:
  • Prepare agendas and make other meeting arrangements for committee, board, and other meetings.
  • Take detailed notes at all meetings as required, distribute, and provide follow-up on all open tasks.
  • Correspond with existing and future clients by email and phone in a timely manner.
  • Provide administrative and office support such as typing, dictation, faxing, filing, and updating contacts.
  • Answer phone calls as needed and direct calls to appropriate parties or take messages.
  • File and retrieve corporate documents, records, and reports; monitor, update, and manage all client documents and agreements.
  • Assist the CEO in the preparation and follow-up of regularly scheduled reports.
  • Maintain compliance with ISO certification requirements for documents management.
  • Prepare and update sales materials in PowerPoint, Word, and Excel.
  • Update posts on social media platforms like Facebook, LinkedIn, and on company blogs.
  • Collaborate with cross-functional teams to draft project schedules and plans.
  • Ensure that the corporate brand is consistently applied and accurately reflected on all communications.
  • Other duties as reasonably requested.
Essential Skills/Experience: The successful candidate for this position will have, at minimum, the following skills, experience, and characteristics.
  • Strong written and verbal skills required to produce regular internal and external communications.
  • Five years or more experience as an executive assistant or comparable high-level administrative position.
  • Two years or more of high-level competency with Microsoft 365 applications including Teams, PowerPoint, Excel, Word, and Outlook.
  • Database and Sales CRM experience would be helpful.
  • Familiarity with ISO certification requirements for documents management would be helpful.

Work Environment/Physical Demands:
  • This role works within a professional office environment and is expected to regularly interact with our team on site in our Pataskala corporate office.
  • Professionalism and discretion are required.
  • The role requires you to answer a telephone, communicate with clients and other stakeholders, use a computer and various software applications, and competency on other standard office equipment.

Required Credentials, Education, and Certifications:
  • Bachelor's degree (preferred) or experience commensurate with the position.
  • Familiarity with ISO certification requirements for documents management.
