- Ensures appropriate monitoring, reporting, tracking and follow-up procedures are in place for effective project management and execution.
- Issue PO to vendors based on information and approvals provided by Project Manager.
- Assists and collaborates with internal project managers and third-party construction management firms to verify construction work performed, materials used, and validates adherence for progress payments to contractors.
- Prepares status update reports for Executive Management update calls, meetings, and or submissions.
- Ensures that the design and construction projects meet established requirements, and that construction complies with established standards.
- Reviews contract close-out documents as directed.
- Manages and oversees the construction-related financial document collection, tracking, and reporting including submitting/receiving purchase orders, reviewing and documenting pay applications, reviewing and approving submittals from contractors and tracking progress.
- Manages field and office activities of third-party construction management firms.
- Project Management Support:
- Design and GC RFPs:
- Create folders and maintain folders on SharePoint for distribution of documents to bidders.
- Create transmittals and distribute bid documents to bidders.
- Organize and distribute RFIs and responses throughout bid process.
- Ensures the safe keeping and submission of all record drawings for construction projects
- Construction Management:
- Assist and track project milestones.
- Submittal Process: Review, approve, and process submittals and shop drawings in accordance with ULS specifications and standards.
- Compile and distribute punch-lists and distribute to Contractor for completion. Coordinate with PM tracking of updates and completion.
- Issue and follow up on Contractor monthly Statements of Account, including reconciling accruals and payments
- A Minimum of 3 years experience in the construction industry and knowledge of processes and procedures
- Strong Microsoft Office Skills (Outlook, Excel, Word, PowerPoint), Bluebeam, and MSProject.
- Strong attention to detail, organization skills and the ability to manage multiple, competing priorities.
- Conveys a sense of urgency and projects a positive, proactive desire to support a broad range of initiatives.
- The ability to interact professionally and effectively with managers and co-workers.
- Ability to prioritize workload and maximize limited resources.
- Ability to communicate effectively both verbally and in writing.
- Ability to travel up to 10% throughout North America
