Job SummaryWe are seeking a Planning and Zoning Clerk to join our team! As a Building Department Clerk, you will answer the phones, and handle applicants' questions, scheduling meetings, preparing agendas, etc. You will also be filing paperwork, making copies, faxing documents, and mailing information out to applicants, Planning and Zoning Board Members, Village Engineer, Building Inspector as appropriate and as needed. The ideal candidate has excellent customer service skills, experience working in an office environment, and strong organizational skills. This is a high pace Planning and Zoning Department handling a large number of applications every year.Responsibilities
  • Assists the Zoning/Code Enforcement Officer in clerical duties relating to enforcement actions and subsequent follow up
  • Prepare Planning and Zoning Board Agendas and setup meetings
  • Prepare meeting minutes
  • Attend Planning and Zoning Board Meetings
  • Enforce submission date timelines
  • Accept application and submission packages and distribute to all appropriate parties, Process incoming paperwork, make photocopies, and file paperwork
  • Maintain records, either physical or electronic, of Planning and Zoning Applications
  • Demonstrate competence in all skills of Secretary/clerk
  • Set priorities for workflow and complete in a timely manner
  • Assist customers with applications and answer questions
  • Collect and process and distribute application packages
  • Coordinate with other staff and officials daily
  • Maintain all Planning and Zoning Board files
  • Assists with question via in-coming phone calls and/or in person
  • Explain Planning Board/Zoning Board/Building Department procedures to the public and outline the nature of and the procedures to be followed
  • Distribution of appropriate applications for 239GML.

Qualifications

  • Familiarity with computer programs, such as Microsoft Office and Adobe software
  • General knowledge of construction a plus
  • Knowledge of IPS program a plus
