Position Overview:
We are seeking a highly competent and proactive Executive Assistant to provide comprehensive administrative support to our Director. The ideal candidate will be adept at managing schedules, handling correspondence, coordinating meetings, and ensuring efficient communication within the organization. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to work independently. The Executive Assistant will serve as a key liaison between the Director and internal/external stakeholders, contributing to the smooth operation of the office and the achievement of organizational goals.Responsibilities: * Manage the Director's calendar, appointments, and meetings, ensuring efficient use of time and resolving scheduling conflicts as necessary.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and itinerary planning.
  • Prepare and organize materials for meetings, presentations, and conferences, ensuring accuracy and timeliness.
  • Screen and prioritize incoming communications, including emails, phone calls, and mail, and respond or delegate as appropriate.
  • Draft and edit correspondence, reports, presentations, and other documents on behalf of the Director.
  • Conduct research and compile data as needed for projects, reports, and presentations.
  • Serve as the primary point of contact for internal and external stakeholders, demonstrating professionalism and diplomacy in all interactions.
  • Assist in the preparation of agendas and minutes for meetings, ensuring follow-up on action items.
  • Maintain confidentiality of sensitive information and handle confidential materials with discretion.
  • Anticipate the needs of the Director and proactively identify opportunities to streamline processes and improve efficiency.
  • Collaborate with other members of the administrative team to support departmental initiatives and projects.
  • Perform additional duties and special projects as assigned.
Qualifications: * Bachelor's degree in Business Administration, Communications, or related field preferred.
  • Proven experience as an Executive Assistant or similar role, supporting C-level executives or senior management.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills, with excellent grammar and attention to detail.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently with minimal supervision and collaborate effectively as part of a team.
  • Flexibility and adaptability to changing priorities and responsibilities.
  • Professional demeanor and strong interpersonal skills.
  • Experience in project management or event planning is a plus.
