- Ensure efficient lot operations by coordinating the movement of vehicles from the check-in area to the incoming lanes or exit lot.
- Review and implement check-in procedures, making sure vehicles are checked in and out correctly.
- Monitor incoming vehicles and ensure that they are received, stocked-in, numerated, staged, and moved through the lanes in proper order.
- Maintain a complete and thorough receiving log, listing all vehicles received, and review daily for accuracy.
- Manage and direct the documentation of vehicle condition writing and condition report and/or computer data entry.
- Supervises quality control activities to assure accurate, timely and complete condition reports (CRs).
- Performs physical checks on random vehicles. Provides detailed and timely feedback to employees.
- Follows and supports others in the use of the work instructions provided by client and/or Manheim inspections using the Manheim electronic condition report program, including off-site reports.
- Administers equipment and maintains inventory supplies used in the department.
- Assures that account specific guidelines concerning CR writing are being followed. Maintains knowledge of account specific needs and communications changes to department employees.
- Prepares daily reports by account to determinate priorities for the day (oldest cars by receiving date and sale cars first) and adjusts workload. Searches for outstanding vehicles in other locations.
- Provides quality service and interacts with dealers to resolve customer complaints or any other problems that may arise.
- Assigns and reissues numbers to dealers, registers vehicles.
- Maintains and communicates with other departments and management team proving relevant information to coordinate activities of the department and ensure high quality of service to both internal and external customers.
- Supervisors and directs the work of vehicle registration employees by determining work procedures, prepares work schedules, expedites the workflow, and assign duties for accuracy and conformance to policies and procedures.
- Assists manager in counseling and corrective action for team, monitors and evaluates employee performance, and conducts performance appraisals.
- Works with manager to review work volumes, plans, and continually monitors staffing levels to ensure efficiency, quality, and effective customer satisfaction. Effectively leads the team at the location by setting an example in behavior, championing Cox/Manheim values.
- Enforces all company policies and procedures relating to conduct, safety, and processes.
- 8 years of experience in a related field (e.g. logistics, auto auction, vehicle experience, etc.); or a High school diploma/GED with 4 years of experience in a related field; or BS/BA degree in a related discipline (e.g. logistics, auto auction, vehicle experience, etc.)with 4 years of experience in a related field; or MS/MA degree in a related discipline with 2 years of experience in a related field; or Ph.D. in a related discipline
- Safe drivers needed; valid driver’s license required.
- Frequently required to stoop, kneel, crouch, bend, squat and climb and sit for periods of time.
- Ability to lift 1-30 pounds.
- Vision abilities required include close, distance and color vision, depth perception and ability to adjust focus.
