- Manage all incoming reservations and respond in a timely manner
- Manage reservations for all Special Event weekends
- Attend weekly Revenue Management, Group pick-up, Reservations and Sales Business meetings
- Assist in maintaining group selective targets and adjusting appropriately in HMS
- Check for duplicate reservations by calling all multiple same name reservations to ensure accuracy of guest names and any special requests
- Work with the Sales Department regarding group rooming lists, reservation changes and group billing according to contract and email history
- Monitor room type availability daily
- Monitor non-guaranteed reservations daily
- Cancel reservations when needed
- Create and maintain group and transient room blocks
- Ensure all reservations have correct billing and all other necessary information
- Monitor internet (OTA) reservations and requests
- Assist in completing all VIP and internal reservations and communicating any issues
- Research and charge for all no-show reservations
- Pre-block special requests / groups and room assignments on a daily basis
- Build rates and packages in HMS and TravelClick
- Create daily “show room” listing
- Knowledge of all Property Management Systems
- Assist Front Desk when necessary
- Train all Front Office associates in reservations
- Monitor reservations and discrepancies in IHotelier
- Perform other duties as necessary
- Manages rooms and ensures inventory is allocated and restricted properly to maximize revenue and profits for hotel
- Responsible for building rates, packages and hotel sales strategy information in the hotel inventory systems
- Conducts analysis of revenue, profit and demand associated with hotel rooms
- Contributes to forecasts, budgets, weekly and daily projections
- Prepares historical and future analysis of revenue and profit opportunities
- Coordinate and manage the yield management process and daily execution in all property management systems
- Collaborate with GM to input appropriate yield controls to maximize hotel's revenue from all distribution channels
- Monitor the status of the hotel throughout the day. Adjust any inventory controls that need to be modified through the applicable Revenue System(s) and communicate to the strategy team. This must occur as frequently as required based on high demand/revenue time frames
- Create and maintain a 12-month rolling demand calendar
- Monitor the pricing of competitors and understand the dynamics of the local market and demand generators
- Assist in monitoring group blocks to determine rooms available for sale to transient customers. Understand groups’ pick-up history and effectively assist in managing group cut off dates
- Review arrivals report and daily revenue reports for accuracy
- Manage brand/third-party channels
- Monitor the competitive set for occupancy and rate and recommend changes based on findings
- Collaborate with Sales and Marketing to provide consultation on strategies for negotiating and booking optimal group and catering business
- Prepare / present / own the hotel weekly and long-range rooms’ forecasts for group and transient reservations
