Administrative Project Specialist*This is a hybrid position within a 100-mile radius of our home office in Chicago, IL.Your Purpose:The primary function of this position is to provide expert-level project management support and coordination of multiple ongoing projects in the Governance Department. Responsible for planning, organizing, coordinating, delivering, and monitoring critical outcomes while providing exceptional service to internal and external customers.What You’ll Do:
  • Collaborate with the Director of Governance to lead governance and volunteer projects, including board meetings, committee activities, orientations, social events, and administrative tasks.
  • Manage projects and processes for the Board of Directors and committees:
  • Develop and monitor registrations for major committee/board meetings.
  • Compile agenda packets for Board of Directors meetings.
  • Collaborate on creating background information, presentations, and graphics.
  • Coordinate logistics for various meetings and provide on-site support.
  • Maintain project resource materials and online resources.
  • Coordinate the development and distribution process for content materials used in Board and Leadership/Orientation meetings.
  • Manage annual awards and take meeting notes for conference calls and meetings.
  • Manage processes related to the Board of Director Annual Meeting activities:
  • Manage guest invitation’s process to specific activities.
  • Distribute and track invitations for ASA/FSA anniversaries.
  • Arrange gifts and awards for special guests.
  • Maintain records of retiring board members' gifts and awards.
  • Nominating Committee Management:
  • Develop systems for collecting, monitoring, and reporting election nominees.
  • Create candidate ballots and collaborate on election materials.
  • Monitor the elections timeline and maintain historical election statistics.
What You’ll Need:
  • Bachelor’s Degree or equivalent experience
  • 1-3 years of project coordination/management experience or supporting higher-level managers/executives is preferred
  • Strong verbal and written communication skills; adept at multitasking with attention to detail
  • Ability to make administrative decisions and anticipate needs for process improvement
  • Advanced analytical and critical thinking skills for organizing and summarizing information
  • Demonstrated interpersonal skills for working with diverse groups and senior management
  • Expertise in Microsoft Office polling technology, and ability to adapt to new software
  • Experience in Monday.com or other project management software.
