- Review incoming invoices for proper documentation to include PO matching.
- Record the date of incoming invoices along with subsequent payment dates.
- Enter data from payment vouchers for accounts payable into the State's electronic accounting system (CORE).
- Verify the accuracy of information entered from payment vouchers into the general accounting expenditure document (GAX) in CORE and bring discrepancies to the supervisor's attention.
- Execute credit card and bank account reconciliation along with coding for supervisor review.
- Update and maintain financial documents, ledgers, and business relationships.
- Performs general and routine clerical duties such as copying, e-mailing, and faxing. Performs other duties of a similar nature, as requested.
- Runs errands to pick up and hand deliver mail, checks, and miscellaneous items within the local vicinity, such as deposits to the Treasurer's Office.
- Attends meetings and trainings as required.
- Support the organization in optimizing its financial transactions and systems.
- High school diploma or equivalent (G.E.D.);
- One year of general office experience
- Working in a trial office with the State Public Defender or other legal or criminal justice environment
- Basic administrative and clerical procedures and systems such as word processing, filing, record keeping, and other office procedures and terminology.
- Basic math (addition, subtraction, multiplication, and division).
- Strong client service focus.
- Ability to learn and apply relevant policies and procedures.
- Ability to learn the organizational structure, services, staff, and contact information.
- Ability to recognize when to escalate matters to a supervisor or other staff member.
- Maintaining client and office confidentiality.
- Accuracy and attention to detail in data entry and recordkeeping.
- Ability to complete tasks and assignments with occasional interruptions.
- People skills to provide courteous and professional service to members of the Public Defender system, clients, judges, court staff, others in the legal community, and others encountered in daily activities.
- Operation of standard software applications such as Microsoft Office Word, Excel, internet browsers, and e-mail.
- Operation of common office tools and equipment such as phone systems, postage meters, calculators, desktop computers, printers, photocopiers, and fax machines.
- Effective communication, verbal and written, sufficient to exchange or convey information; includes giving/receiving work direction.
