Job Description:The Human Resources Generalist is responsible for performing administrative and entry level HR-related duties on a professional level, working closely with the Manager, HR, and Senior HR Generalist in supporting functional areas of benefits administration, payroll, hourly recruitment, onboarding, file setup/ maintenance, policy implementation, recordkeeping, and employment law compliance. This position conducts job duties in a manner that demonstrates a strong food safety culture which ensures the safety and quality of our products. Work will be 90% onsite with allowing up to 2 days/month remote option. The general schedule will be Monday - Friday 8:00a - 5:00p. This position can be based in Lawrenceburg, KY or Coxs Creek, KY. Travel to the other facility will be required during the workday ~1-2 times per week based on company need.Summary/Objective The Human Resources Generalist assists the HR Department with day-to-day HR activities and processes and provides HR support to management and employees. The HR Generalist position ultimately reports to the Manager, Human Resources.Essential Functions Time AllocationsMajor Responsibilities 90%The HR Generalist is responsible for coordination and administration of various HRactivities related to:Payroll Administration
  • Perform weekly hourly, bi-weekly salary Four Roses payroll; and monthly payroll for a small group of employees.
  • Verifies time and attendance, processes any attendance violations, communicates to Manager, HR
  • Creates, obtains approval, and may receive change of status forms for payroll, updates in payroll system and files forms
  • Communicates with payroll service for accurate execution of payroll to all employees
  • Finalizes payroll process, submits draft payroll check register to Manager, HR weekly for final approval before submission
  • Manages and maintains all payroll records and software
  • Submits weekly payroll reporting methods for Accounting and Finance
  • Updates the current the payroll procedure manual, SOP’s as needed and ensures Administration Coordinator, Senior HR Generalist, and Manager, HR are sufficiently trained as backup.
  • Ensures PTO, Sick Time and Vacation Time are accurately tracked within the ADP system for all employees
  • Ensure time sheets are submit for all Temporary employees to the appropriate staffing agency
Benefit Administration
  • Ensure accuracy and maintenance of benefit elections and beneficiary information within ADP; educates self to be the expert of all Four Roses Distillery benefits
  • Completes benefit orientation with hourly and union new hires and finalizes enrollment
  • Submits enrollments and changes within ADP and other systems as needed.
  • Administers HRIS (ADP) and all general reports needed from the HR Department
  • Administers fringe benefits through payroll; (health club reimbursement, product allowance/reimbursements, cell phone reimbursements) records accurate data, communicates with annual update to accounting regarding product allowance balances - revise this – maintain product allotments in ADP – send report to Accounting when requested
Recruitment, Selection and Hiring – Hourly, Union, and Temporary Positions
  • Screens resumes, conducts phone interviews, and coordinate scheduling for onsite panel interviews with management
  • Work with staffing agencies to fill hourly Visitor Center positions, coordinate schedule for onsite interview with VC team
  • Manage all aspects of the recruitment and selection process for temporary, hourly and non-exempt level recruitment, works to ensure best candidate for the position and promotes a diversified workforce
  • Create approval packets for new hires and submit to HR Manager for review/ approval in absence of Administrative Coordinator
  • Executes pre-employment screening, reference checks, employment offers, and orientation for hourly union positions in absence of Administrative Coordinator
  • Maintains hourly orientation presentations, updates as necessary and provide recommendation for ways to enhance the orientation program to the HR Manager
  • Monitor the effectiveness of candidate sourcing channels.
  • Assist to establish and administer expanded new hire orientation program for hourly position
Administrative
  • Ensure accurate recordkeeping, filing, and electronic transfer of all personnel files
  • Performance regular I9 file audits and communicates any discrepancies to Manager, HR.
  • Maintains all disciplinary files and the disciplinary tracker, send notices to employees and manager with updated point balances as needed.
  • Assist with distribution of HR department/ company memos and correspondences
  • May attend meetings as needed to take notes and transcribe meeting minutes
  • Terminations/Employment Separations
  • Assists HR Manager with termination discussions, investigations, ensures consistent documentation
  • Complete exit interviews for all hourly positions and assists with exit interviews in the absence of Senior HR Generalist for salaried positions.
Policies and Procedures
  • Assists HR Manager in the development of employee and HR policies and procedures
  • Communicates clear, transparent policies and procedures to employees
  • Assists in proper administration of collection bargaining agreement/work rules; applies consistency
Legal
  • Maintain working knowledge of all Federal, State, and local guidelines related to employment practices and the law.
  • Ensures up to date required legal posters are displayed in conspicuous areas of the company
  • May assist with annual required local, state and federal reporting
Minor Responsibilities 10%Employee Relations
  • Promotes positive culture with union, non-union and salaried employees
  • Maintain open and candid relationships with employees at all levels of the organization.
HR Related Events
  • Assists with all recognition programs; ordering of supplies and coordinating of events such as retirement parties, Christmas Party, company picnic, start up meetings, etc.
  • Assists in representation at strategically selected job fairs, university recruiting events, networking and conferences.

Education and Experience – Required
  • At least an Associate’s degree in Human Resources or related degree
  • 2-3 years’ experience with ADP Payroll processing/ Time and Attendance
  • 2-3 years’ experience with full cycle hourly recruitment
  • Computer and software proficiency including strong knowledge of MS Office (Excel, Word, PowerPoint, Access)
Education and Experience – Preferred
  • HR certification

Job Related InformationSupervisory ResponsibilityThe HR Generalist will not have any direct reports other than vendors and contractors.Work EnvironmentWhile performing the duties of this job, will work primarily in a climate-controlled environment with minimal safety/health hazard potential. Sedentary, sitting, walking, occasional lifting (overhead, waist level) from floor, bending, frequent near vision use for reading and computer use; frequent stressful conditions (cardiovascular). Could be exposed to infrequent fumes or airborne particles, moving mechanical parts and vibration as could be expected in any OSHA compliant operation and may be occasionally exposed to a variety of extreme conditions in the distillery/warehouse/bottling environment.TravelTravel will be required between Kentucky locations. Travel could be required to other sites, cities, or countries to learn more about specific or general operations, equipment, or methods.
