CHIEF OF STAFF (GRADE 09) X1 (ZAMBIA)2024/02/29Reference NumberHCBP0103DescriptionJOB PURPOSEThis function is responsible for handling formalities and courtesies required to ensure seamless relationships between CEO's office and other organizations. The role is also responsible for the strategic management of the Chief Executive Officer (CEO) cyber security, online publication and safeguard of image, digital user interface, public traffic of information relating to the CEO's platforms. It further provides a median of information management for correspondence and actions undertaken by the office.Under the supervision of the Chief Executive Officer, the following are among the Job Key Responsibilities:Performance/ Operational Framework
  • To assist the Chief Executive Officer in developing strategic responses to publications, digital/platform material risks through research, provision of market/industry insights & trends, development, support and execution of response to digital engagement, leading to management of reputation risk, information security risk and governance risk.
  • Development of the digital platform governance and controls standards that provide guard rails of operationalization of the reputation risk control of the office.
  • Ensure all representations of the office of the CEO are in accordance with the minimum governance standards set for the public image of the office.
  • Work closely with IT security and Risk information security departments in the delivery of secure communication systems and platforms for CEO's office.
  • Collaborate with Marketing and Communications on the provision of seamless information publication and information dissemination for the office at all times.
  • Track communication in and out of CEO's office to ensure all correspondence has been received by its intended recipients on both sides.
  • Ensure the timely management of responses to emails from customers, staff and stakeholders as may be requested by the CEO.
  • Draw up follow up call reports and or meeting action plans for CEO's view of successful CEO engagements with clients, staff, government officials, and other stakeholders whose meeting outcomes would require time bound deliverables. Follow through with ensuring all parties to delivery of intended outcomes have met their targets and timelines for.
  • Ensure effective customer complaint tracking for closure.
Protocol Services
  • Manage CEO's travel arrangements including air tickets, accommodation, land transport etc.
  • Manage protocol services for the CEO's travels and make appropriate arrangements for the reception during departure and arrival, including immigration formalities at airports, use of VIP lounges/ facilities and land transport among others
  • Follow up on hotel reservations for the CEO and facilitate check-in and check-out during official trips and attendance at meetings and conferences
  • Process visas for the CEO and staff on official trips
Reporting
  • Report on complaint resolution and generate recommendations for action in collaboration with relevant divisions impacted by the information being managed at CEO level with regards to external stakeholders, e.g. Human Capital, Compliance, Operations, Legal, Risk and other divisions.
  • Providing insight driven statistics on platform hits, user comments, potential hacks, user account duplications and other relevant information as may be deemed necessary to make decisions.
  • Provide updates on tasks committed to by stakeholders in meetings attended by CEO.
Communication & Engagements
  • Coordination of all communication, broadcasts, memos leaving CEOs office.
  • Attend meetings as may be delegated by CEO and relay relevant information as may be deemed necessary in the absence of the CEO.
  • Act as a central point of contact for all communications within CEOs division.
  • Facilitate connectivity of employees across the business with CEOs office and create a consistence experience for during such engagements.
  • Formulate CEO communication, speeches and memos for the CEOs review and execution.
CEO Annual Obligations
  • Responsible for ensuring that all annual renewal of certifications for the CEO are timeous and within set perimeters.
  • Ensure annual medical reviews are conducted seamlessly with preset medical partners.
  • Ensure diarized annual events, memorials, anniversaries and conferences are noted and managed within the required timelines.
Operational Controls
  • Monitor the implementation and adherence to controls and audit requirements in the CEOs division to mitigate risks.
Miscellaneous & General
  • Perform any other responsibilities as maybe assigned by management

RequirementsQUALIFICATIONS AND EXPERIENCE
  • Grade 12 Certificate with Credit or above mandatory in Mathematics and English and any other three subjects
  • Bachelor's Degree in a Business-related field
  • At least five (5) years of experience in a related role, Business Manager related role, or a Strategy delivery role.
  • Exceptional interpersonal skills and possession of a teamwork orientation and ability to interact harmoniously and effectively with colleagues and third parties from diverse sectors, disciplines, perspectives, countries and cultures
  • Excellent interpersonal, networking, negotiation and communication skills
  • Ability to resolve problems, exercising the highest sense of responsibility and maturity in the handling of confidential and sensitive issues
