This position is an essential member of SWSG's Operations Team. Based within commuting distance of either SWSG's Pittsburgh, PA, or Boston, MA, offices, this role lends limited onsite support to its local office and primarily fulfills duties related to SWSG's national operations affecting all locations. The Operations Coordinator for Development & Events fulfills critical functions that support the development & fundraising work of SWSG, including event planning, and data management for development activities.What we're looking forReporting to the National Director of Operations, the Operations Coordinator for Development & Events manages operational aspects related to revenue generation and tracking against funding requirements, planning coordination & day-of execution for at least two major fundraising events annually, and management of data related to donors, funders, and key contacts. The salary range for the Operations Coordinator for Development & Events position is $40,000 - $55,000, commensurate with experience.What you'll be doingAn abbreviated list of the essential functions and duties for the Operations Coordinator for Development & Events position includes the following:Core Responsibilities:
  • Maintain the finance and development operations of the organization, including:
  • Weekly donor and donations tracking and acknowledgment.
  • Weekly and monthly reporting to the National Director of Operations and the Managing Directors (Boston and Pittsburgh offices) to outline revenue earned.
  • Critical bookkeeping functions including accounts payable, accounts receivable, and liaising with the bookkeeper to ensure accurate and timely monthly financial reconciliation and reporting.
  • Create, refine, and implement effective tracking systems for a combined Development team to ensure good donor data management and stewardship.
  • Collaborate with the National Director of Operations in refining financial reporting procedures to ensure transparency and accountability across the organization.
  • Oversee data entry and maintenance of development data in Salesforce database, including complex grant funding records.
  • Serve as the first point of contact for incoming inquiries and provide sophisticated communication to liaise between SWSG staff, external stakeholders, and vendors.
  • Serve as a key player on event planning teams for all annual fundraising events, including:
  • Coordinating a major fundraising gala in both Pittsburgh and Boston and 5-7 smaller networking events throughout the year.
  • Spearheading select event elements, overall logistical planning, and event data tracking.
  • Developing and maintaining tracking documents; researching, soliciting, and securing event vendors; and facilitating day-of planning and execution functions.
  • Manage the logistics planning of other organizational events not related to fundraising.
  • Collaborate with the Managing Directors of Boston and Pittsburgh on other development work as needed, such as research, donor prospecting, stewardship activities (outreach), etc.
  • Serve as the onsite administrator for the local office.
  • Manage a high volume of requests and projects to meet the objectives of SWSG's operations team.
What you'll bring alongTo be optimally successful in this role, the ideal candidate will have the following qualifications:Education: High school diploma is required. Associate's degree from an accredited university in nonprofit management, business, public administration, or another related field is preferred. Educational requirement may be substituted with four years of relevant experience.Experience: Minimum of two years of administrative experience in a related area, such as event planning, fundraising, development, relationship building, etc., preferably in a nonprofit space. Nonprofit development is highly desired.Skills & Abilities:
