- Coordinate and oversee all facilities-related activities, including maintenance, repairs, cleaning, and security services.
- Conduct regular inspections of the office facilities to identify and address any maintenance or safety issues promptly.
- Manage relationships with external vendors and service providers, including negotiating contracts, obtaining quotes, and overseeing service delivery.
- Maintain accurate records of facilities-related expenses, budgets, and contracts.
- Monitor and manage office supplies, equipment, and furniture inventory, ensuring adequate levels are maintained and replenished as needed.
- Assist with office moves, renovations, and space planning projects, coordinating with internal stakeholders and external contractors as necessary.
- Implement and enforce safety and security policies and procedures to ensure compliance with regulatory requirements and best practices.
- Serve as the primary point of contact for facilities-related inquiries, requests, and emergencies, providing timely and effective resolution.
- Assist with special projects and initiatives as assigned by management.
- Minimum of 5+ years of experience in facilities coordination, property management, or related role, preferably in a mid to large size company.
- Bachelor's degree in facilities management, business administration, or related field preferred.
- Proven experience in facilities coordination, property management, or similar role.
- Strong knowledge of facilities management principles, practices, and regulations.
- Excellent organizational skills with the ability to multitask and prioritize competing demands effectively.
- Exceptional communication and interpersonal skills, with the ability to interact professionally with employees, vendors, and stakeholders at all levels.
- Proficiency in Microsoft Office Suite.
- A valid NC Driver’s license.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility to respond to urgent facilities-related issues as needed.
