This position contributes to L&I's mission to Keep Washington Workers Safe & Healthy by supporting the Division of Occupational Safety (DOSH) and other Health programs, located at the WA State Labor & Industries and Dept of Agriculture Safety & Health Lab & Training Center in Tumwater, WA. This position also offers auxiliary support to the L&I SHARP program and WSDA Plant Pathology and Food Safety & Consumer Services programs (co-located).As the Program Assistant, you will primarily function as a receiving specialist to independently organize and route samples, chemicals, sampling equipment, laboratory supplies, and packages to the appropriate program area following specific and discrete Chain of Custody protocols.In addition, you will also act as the L&I/WSDA Safety & Health Lab and Training Center primary contact responding to building access requests from shippers, vendors, contractors, stakeholders, trainees, and visitors. During large training events, this position may assist with coordination of front door reception and building navigation.Coordinate building wide support by regularly meeting with program stakeholders, facilities, maintenance, and emergency management personnel to enhance the efficiency of communications between building occupants.All of this will be done by working independently requiring communication with various state and commercial entities, occasionally using complex scientific and technical language, following enhanced levels of safety protocols due to the potential chemical hazards associated with a laboratory facility.Our ideal candidate will be someone who can work very independently while also being a strong, self-starting communicator and can take charge of this vital role that is essential to the functionality and success of our operations.For this position, telework is not permitted.   • Receive incoming laboratory samples, chemicals, sampling equipment, and laboratory supplies.
  • Route specific packages to the discrete programs.
  • Track routed packages to discrete program areas, ensuring appropriate handling and storage.
  • Be knowledgeable of and follow specific chain of custody protocols, as defined by each laboratory under
. * Independently apply knowledge of DOSH laws, regulations and processes, as relates to safety and health when working with hazardous chemicals and ergonomics.
  • Use computer programs, such as Microsoft Outlook, Teams, Word, and Excel.
  • Monitor video telecom doorbells for East and West building entrances.
  • Order building supplies and maintain inventory.
  • Schedule package deliveries.
  • Coordinate large shipments with L&I/WSDA warehouses.
  • Act as primary liaison between customers, programs, laboratory, and training center.
  • Follow specific protocol.
  • Greet and admit visitors, vendors, contractors, trainees, and delivery service providers into the secured areas of the building.
  • Facilitate program notification of vendor arrival and proper check in protocols.
  • Coordinate arrangements for DOSH Lab & Training Center activities, such as building tours, cross program meetings, and building emergency response plans.
  • Work independently to resolve customer/client complaints and addressing complex issues when needed.
  • Answer multi-phone lines and provide information to customers and visitors.
  • Coordinate and issue day badge access to secured areas of the building.
  • Provide assistance to staff/visitors attending trainings.

QualificationsREQUIRED:
  • High school graduation or equivalent AND Two years of full-time clerical experience.
OR
  • Equivalent education/experience.
DESIRED:
  • Six months experience supporting cross-program or multi-divisional business activities.
