- Calendar management: meetings, travel arrangements, completion of expense reporting.
- Support the completion of presentations, agendas, spreadsheets for business meetings (business reviews etc.).
- Will maintain filing system for area, ensuring critical and/or confidential data is stored appropriately.
- Responsible for ensuring the accuracy of presentations and reports, coordination of key meetings/divisional business reviews.
- Schedule meetings, secure facilities/equipment and prepare meeting materials both on and offsite.
- Provide cross-functional leadership support on key initiatives/projects.
- Perform various communications responsibilities including Organizational announcements, General communications.
- Will be assigned non-routine projects with responsibilities across multiple departments and divisions (e.g. coordinating for and internal conferences, etc.).
- Will support executive's organization and leaders with administrative tasks specific to the department.
- Responsible for all Indirect purchases. In addition to include support to accounts payable and receiving department in researching invoice discrepancies and receiving issues.
- Support the coordination of employee engagement activities.
- Proven of delivering high standards regarding spelling, grammar, content, and brand compliance are required.
- Support training of team members and stakeholders on process changes as needed.
- Other duties as assigned by leadership.
- Must have a High School Diploma or GED.
- Bachelor's degree preferred.
- 3+ years providing high-level administrative support, including calendar, expense, and travel management.
- Must have experience with meeting and/or event planning.
- Must have demonstrated proficiency in using Microsoft Office Suite technology, including complex document creation, spreadsheet creation, and presentation creation.
- Must have demonstrated proficiency in email and calendaring systems, preferring Outlook proficiency.
- Must be detail orientated (e.g., calendar support across multiple time zones).
- Must have the ability to take proactive initiative, to learn new concepts/processes, and be able to improve current processes.
- Must have the ability to provide rapid, accurate responses to confidential/sensitive requests and to routinely handle confidential information.
- Must have critical thinking skills.
- Must have the ability to prioritize multiple simultaneous deliverables and work in a demanding environment.
- Must be able to understand and work within complex interdivisional procedures and executive schedules.
- Must have excellent communication skills (written, oral and interpersonal).
- Experience with international travel is required.
