- Serve as the initial point of contact for visitors, telephone calls, and deliveries.
- Handle guest registration and issue visitor and employee access cards.
- Maintain the office area, conference rooms, and kitchen.
- Prepare and serve refreshments to guests upon request.
- Order and restock office supplies and items for the kitchen pantry.
- Coordinate travel and hotel accommodations for CEO.
- Manage CEO's calendar and meeting requests.
- Assist CEO with work-related and personal tasks/errands.
- Create invoices for company needs
- Maintain conference room IT equipment, as well as manage all office logistics including Wi-Fi, monitors, cord management, and printer services.
- Reconcile end-of-month (EOM) receipts/invoices.
- Pay all invoices.
- File all non-disclosure agreements (NDAs) and documents appropriately, keeping the file system organized and updated.
- Manage the building's Business Portal for special office maintenance requests.
- Perform any other back-office tasks as requested.
- Carry out other responsibilities as assigned by CEO.
- Manage TMS filing system
- Manage email inbox for external inquires
- Coordinate travel and hotel accommodations for different C-level executives.
- 2-4 years of experience as an office manager and/or executive assistant supporting high level executives
- Present a proactive and positive attitude
- Exhibit a high level of professionalism, discretion, and adaptability
- Demonstrates exceptional abilities in communication, organization, and multitasking
- Expense report knowledge
- Experience booking international and domestic travel
- Proficient in basic technology support and Microsoft software's
