Disruption Books, the book publishing division of West Wing Writers and a hybrid trade publisher of nonfiction, is searching for a full-time operations associate. We are a small and fast-paced team that work together from across the country to provide the best care and attention to our clients. As our operations lead you will be an integral part of the Disruption Books team to help provide us with distribution oversight and project management skills and efficiency. We’re looking for a candidate that is highly organized, detail-oriented, and proactive.At Disruption Books, we believe in collaborating creatively and engaging personally to help authors inspire their audiences, and to bring their stories and ideas to market. Our approach suits authors who need traditional market access but desire a bespoke experience. We love what we do, and we’d love you to join us.Responsibilities include, but are not limited to:
  • Maintain the metadata for Disruption’s full list, and create metadata records for new titles each season.
  • Manage operations and logistics with our distribution partner to ensure inventory is available and in stock on publication day and beyond for all titles.
  • Enroll designated titles in POD programs and manage proof approvals.
  • Submit titles for ebook conversion and approve ebook files for distribution.
  • Onboard new clients and manage client relations. Serve as the primary point of contact for general client inquiries and requests.
  • With the Disruption team, ensure timely and accurate delivery of products and services to clients and vendors.
  • Collect and organize author data.
  • Maintain and update client and vendor records in our database.
  • Assist in processing invoices.
  • Coordinate with vendors to ensure efficient and effective delivery of services.
  • Assist with the coordination and implementation of promotional activities and author events.
  • Maintain confidentiality and handle sensitive information with professionalism and discretion.
  • Communicate clearly and effectively with clients, both in written and verbal form.
  • Manage complex calendars, meetings, and appointments, considering different time zones and publication schedules.
  • Provide general administrative support, including mailings and trade shows.
  • While this role is generally remote, there will be occasional travel up to 10% of the time.
Requirements
  • Experience in the trade publishing industry and a history as an experienced project manager in the field.
  • Exceptional organizational and time-management skills.
  • Proficiency in Microsoft Office and content management systems, and familiarity with Adobe Creative Suite.
  • Is familiar with and has utilized project manager methodologies, including developing workflows, schedules, processes, and tracking for publishing or similar efforts.
  • Is comfortable and has experience working in a client-facing capacity, showing dependability and professionalism while building and maintaining your relationships with them.

  • This role must be based in the United States with the ability to work in the Eastern time zone, dependent on client needs.
