- Lead the continuous quality review and improvement of grants administration services, processes and workflows within Corporate Planning and Reporting (CPR) and with other business units.
- Collaborate with the Grants System Coordinator to optimize the functionality of, and workflows within, the grants management system.
- Develop standardized and integrated grants administration processes across the organization through collaboration with Legal, Finance and other business areas.
- Monitor grants administration processes to ensure implementation, consistency, quality and effectiveness of standardized and integrated processes across the organization.
- Manage Grants Administration Services budget and reporting activities, authorizing expenditures within budget and approved limits, explaining variances, and ensuring the timely submission of required internal and external reports and financial documents.
- Responsible for understanding and maintaining the capabilities and competencies of Grants Coordinator roles for performance management.
- Lead staff activities including monitoring productivity, work quality and workloads; ensuring adherence to policies and practice standards; managing recruitment and performance review activities; progressive discipline; and ensuring the availability of skill development, coaching and training opportunities.
- Provide consistent coaching, mentoring, training, and performance management to staff.
- Ensure that Project Advisors and other staff involved with program areas receive appropriate grants administration support and training.
- Optimize compliance with grants administration processes and standards by providing training to internal business areas and, when necessary, communicating with external clients.
- Liaise with business areas to understand and identify areas of strength and opportunities for improvement within and related to the grants administration function, factors that impact the current and forthcoming work volumes, and strategies to mitigate periods of exceptionally high workloads.
- Collaborate with work areas to understand business priorities and ensure they are familiar and trained on grants administration processes and procedures and follow accordingly.
- Provide the corporation with subject matter expertise about grants administration and associated grants management processes and methodologies, including best practices.
- Participate in the coordination of information gathering and data management practices, including managing expectations and understanding limitations with the grants administration data set.
- Undergraduate Degree in Business Administration, Commerce or a related field
- 5 or more years of progressively responsible experience in a similar role
- 1 - 2 years experience in a supervisory or mentorship role
- A commensurate amount of work experience and education will also be considered
- Experience in project, contract and/or financial management is considered an asset
- Ability to prioritize multiple tasks, in a fast-paced and dynamic environment
- Demonstrated conflict management and resolution skills
- High attention to detail and good analytical skills.

- Proficiency using Microsoft applications and high degree of comfort with other software such as grant management systems.
