Your coordination, collaboration, planning, execution, and process management skills are all traits that are essential for this role. Additionally, you will collaborate daily with a team of passionate higher education professionals committed to ensuring students' success.Location: GlensideEssential Functions:
  • Administer key technology and systems to support the Division's operations.
  • Provide administrative support and management for several of the Division's technology systems, including the online form system, Salesforce CRM, and PowerCampus.
  • Oversee the management of the Undergraduate and Graduate academic policies and procedures online form system to ensure continuity, timeliness, and responsiveness.
  • Assist in supporting effort connected to our federal Title III Grant Activity: Digital
  • Transformation (Data Warehouse and the CRM)
  • Support in building data pipelines, ensuring workflow reliability, and workflow and process improvements.
  • Be a reliable and attuned communicator.
  • Organize and execute the Division's ongoing communication including managing inboxes, community communication campaigns to the University community, other intervention priorities across platforms.
  • Support the maintenance and improvement of unit communication and support materials (website, print material); serve as a Division PowerUser for WordPress.
  • Maintain up-to-date records in all systems.
  • Execute operational processes to make the Division run smoothly.
  • Work proactively to identify and support the administrative needs of the Division's staff, programs, and services. Using your knowledge of our core services, provide administrative support that allows team members to stay appropriately focused on the high-level data and technology focused goals of the Title III grant.
  • Provide core administrative assistance such as scheduling, document management, supply coordination, budget processing, purchasing, and travel management. Support the Division's human capital needs, including organizing talent searches and onboarding new employees to university processes.
  • Perform related duties as assigned, within your scope of practice.
  • Foster the success of students through key divisional projects and interventions.
  • Serve as the administrative lead in Division intervention projects, including support for Academic Standing, the Student Success Hub, and the University separation/return processes. This includes managing data, communication, workflows, and other duties as assigned.
  • Provide support as directed for Division annual projects and processes, such as the academic catalog, data generation and reporting, and Title III Grant activity.
  • Play a key role in implementing important Division programming, events, and meetings
  • As requested, plan and execute event/meeting operations (space, invitations, catering, & other logistics) including related implementation responsibilities for first-year seminars, Phi Kappa Phi, and Alpha Epsilon Lambda
  • Provide essential organizational schedule management and other administrative key support to our team.
Qualifications:
  • Bachelor's degree
  • Previous experience in administrative roles, office management, operations, or executive administration
  • Proactive and self-sufficient in managing operations
Skills:
  • Strong initiative, action orientation, resourcefulness, and creative problem-solving skills
  • Sharp organizational skills and attention to detail
  • Ability to work independently and efficiently to meet deadlines in a multifaceted environment
  • Strong oral, written, and interpersonal skills
  • Tech-savvy, especially with learning new systems and platforms. Proficiency in Zoom,
  • Microsoft Office Suite, and Google Suite (Docs, Sheets, Gmail, Gcal)
  • Team player who is able to work professionally and positively with students, faculty, and staff
  • Ability to demonstrate sensitivity and knowledge about diversity, equity, and inclusion and embrace opportunities for continued growth in cultural competence
  • Must have strong ethics, integrity, and maintain confidential information
