Medical Assistant SupervisorPosition Description:The Medical Assistant Supervisor serves to provide leadership, training, supervision and support for the CoreLife Novant Health (CLNH) medical and nursing assistants in their region. The MA Supervisor will ensure that all members of his/her team are able to aid with clinical care of patients through an interdisciplinary and collaborative approach that takes into consideration all aspects of health with the specific scope of treating overweight and obesity as a disease. This is done under the direction and protocols of the supervising Physician and/or the medical providers at each CLNH location.Responsibilities of CMA Supervisor:
  • Acts as hiring manager for medical assistants in their region
  • Assists HR with resume screening and conducting phone interviews to select MA candidates
  • Collaborates with HR and the office managers to arrange in-person interviews
  • Notifies HR and Market President when a candidate is selected for hire
  • Proposes hiring salary to Market President and HR
  • Oversees onboarding and training for medical assistants in their region
  • Ensures all appropriate certifications and licensures are obtained and on file with HR
  • Creates training schedule for new hires and provides schedule to HR to send to new hire
  • Communicates with new hires the week prior to start date to confirm location and time to arrive on Day 1.
  • Works with Director of Operations to schedule EPIC training and get EPIC access for new hires.
  • Provides or arranges on-site training. Notifies all providers and OMs involved.
  • Provides training checklist and meets with new hires weekly to ensure all components are completed
  • Verifies skills and competencies prior to completion of training.
  • Arranges and/or provides clinical coverage as able
  • Collaborates with OMs to approve and track PTO
  • Ensures PTO calendar is up to date for Medical Assistants in their region
  • Collaborates with OMs to allocate medical assistant staffing as needed to align with provider schedules across CLNH locations
  • Provides clinical coverage an average of two days per week
  • Provides leadership to the Medical Assistants in their region.
  • Functions as liaison between office managers and medical assistants as needed
  • Functions as liaison between medical providers and medical assistants as needed
  • Leads the monthly CLNH Medical Assistant meeting
  • Provides training and updates regarding workflow and patient care
  • Collaborates with the NC Leadership team to align statewide communication
  • Advocates for her teammates to ensure job safety and satisfaction
  • Identifies strengths of teammates and provides opportunities for professional growth when possible
  • Supervises medical assistants in their region to ensure provision of quality care
  • Completes annual skills validation assessments.
  • Provides coaching and counseling to teammates when deficiencies in performance arise.
  • When necessary, creates and implements Performance Improvement Plans
  • Completes annual performance reviews on medical assistants in conjunction with the OM.
  • Ensures all appropriate certifications and licensures are maintained for team members
  • Provides support to the Prior Authorization Team as needed
  • Functions as a liaison between the medical assistants and prior authorization team to ensure efficient workflow, tracking and communication
  • Collaborates with Office Managers (OM) and the NC leadership team to identify opportunities for improvement and propose ideas to optimize workflows, support clinical and operational teammates, and provide the highest level of patient care
  • Communicates the needs of her/his department and teammates to OMs and members of the CLNH leadership team.
  • Notifies Medical Director of concerns regarding clinical equipment needs/problems
  • Ensures all clinics are properly stocked with appropriate medical supplies
  • Works with OM at each clinic to place orders for clinical supplies
  • Assists in researching clinical equipment to recommend updates or additions as needed
  • Attends the weekly NC leadership team meetings when needed
  • Assists in creation or revision of policies pertaining to Medical Assistants or patient care as needed.
Areas of Responsibility of CLNH Medical Assistants:
  • Works as part of a multi-disciplinary team to coordinate all phases and aspects of patient care by CoreLife, as well as ensuring compliance with all laws, rules and regulations applicable to patient care
  • Assists the medical provider by obtaining vital signs, collecting information, updating medical records, performing tests, and communicating with the patient to ensure the CoreLife patient receives quality, thorough and compassionate care during and between visits.
  • Assists in the development and implementation of policies, procedures, and standards which affect the care of the CoreLife patient
  • Develops and maintains a collaborative working relationship with the Physician, Nurse Practitioner, Dietitian, Behavioral Health Therapist and the Exercise Specialists, office manager and front desk coordinators involved in the care of the CoreLife patient
  • Identifies and implements practices that are evidence-based to enhance the quality and cost outcomes of the CoreLife patient population
Specific Responsibilities of CoreLifeNH Medical Assistants:
  • Communicates clearly and effectively with patients in the clinic demonstrating “customer first” behaviors
  • Greets and places patients in a room after verifying name and date of birth as directed by the patient identification policy
  • Assists with provision of new patient paperwork/forms or electronic questionnaires as needed
  • Obtains, documents, and reports as indicated, and per clinic devices:
  • Temperature
  • Body composition report and/or weight per
  • Height
  • Blood Pressure
  • Pulse
  • Oxygen saturation per pulse oximetry
  • Waist circumference at NPA and upon request
  • Neck circumference at NPA and upon request
  • Explains RMR machine to patients, performs the RMR assessment, and generates RMR report
  • Reviews and updates patient processing screens in electronic medical record (chief complaint, allergies, medication reconciliation, social history, family history, surgical history, last menstrual period, smoking status,etc.)
  • Assists patient with removal of clothing or positioning for assessment or encounter
  • Performs hand hygiene at each point of care, between patients and after “dirty” events (i.e. restroom, coughing, picking objects up from floor,etc.)
  • Proper cleaning of exam rooms and equipment per clinic protocols and manufacturer’s guidelines
  • Follows infection prevention policies/procedures
  • Performs point of care testing (POCT) and venipuncture to collect samples for labs
  • Follows clinic specific processes for POCT
  • Collects and processes specimens per office policy
  • Labels specimens per office policy
  • Documents results per office policy
  • Coordinates laboratory pick-up of specimens
  • Assists with stocking of exam and procedure rooms
  • Knows and is prepared to initiate emergency action plans for
  • Cardiopulmonary arrest/BLS
  • Fire
  • Severe weather conditions
  • Initiates, documents and completes telephone encounters under supervision/direction of the provider
  • Completes or facilitates precertifications and prior authorizations (for prescription medication, imaging or other items requiring these approvals) and obtains provider signatures where appropriate
  • Scans documents into the patient medical record as indicated
  • Initiates and completes refill encounters in electronic medical record or gives verbal medication orders to pharmacies as directed by the medical provider
  • Communicates to patients test/lab results, messages, and other information supplied by the provider
  • Assists front desk administrator with front desk coverage as needed
  • Works with the team to maintain patient appointment schedules, patient flow, and appointment scheduling as needed
  • Requests patient medical records from other health professionals and facilities per provider request and according to policies and protocols
Requirements:
  • Valid CMA, CCMA or RMA Certification through AAMA, NHA or AMT (Required)
  • Valid Basic Life Support (BLS) Certification through American Red Cross or American Heart Association (Required)
  • 5 years of experience as CMA (Preferred)

Work Environment:This job operates in a professional medical office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.This job requires travel to various CoreLifeNH clinic locations for on-site training, supervision and coverage.Physical Demands:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.While performing the duties of this job, the employee is regularly required to talk or hear.
