- Be a courageous safety leader, leading by positive example, and adhering to and sponsoring safety and environmental rules and procedures.
- Coordinate and manage General Managers calendar, including scheduling meetings, appointments, and travel arrangements.
- Arrange and coordinate meetings, conferences, and events, including preparing agendas, organizing logistics, and taking meeting minutes.
- Act as a primary point of contact for internal and external stakeholders, screening and directing inquiries, emails, and phone calls to appropriate parties.
- Draft, proofread, and edit correspondence, reports, presentations, and other documents as needed.
- Make travel arrangements, including booking flights, accommodations, transportation, and preparing travel itineraries.
- Manage expense reports, receipts, and invoices, ensuring timely processing and reimbursement.
- Organize and maintain paper and electronic files, records, and documents, ensuring accuracy and confidentiality.
- Provide administrative support for special projects, initiatives, and research as assigned.
- Assist in the management of office supplies, equipment, and facilities, coordinating repairs and maintenance as needed.
- Handle confidential information with discretion and professionalism, maintaining confidentiality at all times.
- Perform other duties and responsibilities as assigned.
- High school diploma or equivalent.
- Proven experience as an executive assistant or similar administrative role, preferably supporting C-level executives will be considered an asset.
- 3-5 years of relevant work experience or experience in a role with transferrable skillsets.
- Previous SAP experience will be considered an asset.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent verbal and written communication skills, with the ability to interact effectively with executives, colleagues, and external partners.
- Ability to work well with all people regardless of personal ideological and/or ethnic backgrounds, and/or political party affiliations.
- Strong attention to detail and accuracy in all tasks, including document preparation and data entry.
- High level of discretion and confidentiality when handling sensitive information.
- Flexibility and adaptability to changing priorities and requirements.
- Strong problem-solving skills and the ability to think critically and independently.
- Professional demeanor and appearance, with a positive attitude and strong work ethic.
- Availability to work occasional evenings or weekends as needed.
- Willingness to travel occasionally for meetings or events.
- Knowledge of industry-specific terminology and practices may be preferred depending on the organization.
