The Associate Director manages the daily operations of the Budget Services Office, including supervising two staff employees, monitoring departmental budgets, performing analysis and reporting of data from various departments, ensuring timely and accurate processing of revenues and expenses, and managing student organization budgets.Essential Functions:
  • Manage the daily operations of the School of Law Budget Services Office.
  • Supervise, train, and develop two staff employees.
  • Assist the Executive Director of Finance and other School of Law department heads in the preparation of various financial and non-financial reports and analyses, including tuition, scholarships, expenses, fundraising, assessment, accreditation, and student success.
  • Assist with the preparation and monitoring of the annual operating budget development, including enrollment, tuition, scholarships, other revenues, payroll, fringe benefits, and other expenses.
  • Review and monitor budgets of departments, academic centers, and student organizations.
  • Review and approve check, purchase, and wire transfer requisitions; cash, check, and credit card deposits; and prepare journal entries and budget transfers.
  • Work with student leaders from various student organizations to review their budget proposals and to advise on University policies and procedures related to travel, purchasing, and reimbursements. Meet with students on a regular basis to monitor their budgets. Assist students with travel arrangements to various competitions and conferences.
  • Review and approve payroll requests including adjuncts, overloads, pre-session courses, summer courses, stipends, student workers, research assistants, teaching assistants, and part-time employees.
  • Prepare reports related to tuition revenues and scholarship expenses for various constituents. Work with Associate Dean for Career Development & Externships, Associate Director of Stewardship, and University Financial Aid Office, to re-designate / re-allocate scholarship awards to over 200 current-use and endowment fund scholarships, each with different criteria.
  • Manage purchasing card issuance, cancellations, and changes in limits.
  • Review and approve purchasing card, travel, and expense reports in SAP Concur for faculty, staff, and administrators.
  • Prepare income statements and reconcile all revenues and expenses for various fundraisers, study abroad programs, and other alumni, donor, and student events.
  • Prepare supporting schedules for University’s IRS Form 990 Schedule G (fundraising events) and Schedule F (foreign activities).
  • Assist with the year-end accounting close including revenue and expense accruals.
  • Coordinate with the School of Law Advancement Office regarding the creation of new endowments, the proper allocation of donations, and creating ad hoc reports for donors and other constituents.
  • Develop grant budgets with Principal Investigators. Work with the grantors and the University’s Grants Office to complete necessary paperwork for new grants and grant renewals. Prepare financial reports for grantors.
  • Work with University IT, Business Affairs, and School of Law departments to ensure compliance with credit card acceptance policies and procedures.
  • Prepare other reports and analyses as needed.

This position may require longer hours as needed. This position is hybrid eligible. Hybrid eligible employees may be required to report to campus (including during regularly-scheduled remote work hours or days) for work-related meetings, events, and other in-person work as necessitated by business needs or other circumstances.TravelThis position does not have any travel expectations or requirements.Required Education and Experience
  • Minimum 7-years of progressively increasing experience in financial management, including budgeting, planning, and/or analytical roles
  • Prior supervisory experience
  • Bachelor’s degree in accounting or finance-related field
  • Relevant technical proficiency, including account analysis, journal entries, fund accounting, and the preparation of various monthly financial reports in a non-profit, educational, or healthcare environment
  • Strong proficiency in Microsoft Excel (including Pivot Tables, XLOOKUP, VLOOKUP, etc.), Word, and Outlook
Preferred Education and Experience
  • MS or MBA degree in accounting or finance-related field
  • Certified Public Accountant (CPA) license
  • Experience in higher education related to financial management, budgeting, planning, and/or analysis
  • Knowledge of Microsoft Access, Ellucian Banner, Power BI, and SAP Concur
