Job Description:OverviewThe Recruiting Coordinator is an essential member of the Talent Acquisition Team that will represent the team externally to candidates and new hires, and internally to HR peers, co-workers, hiring managers and leaders. This role will be responsible for providing recruitment support for all openings across our MSR portfolio of companies. On average, the Recruiting Coordinator may spend 75% of their time on the daily coordination of recruitment administrative functions (e.g. background checks, and on-boarding processes), and 25% of their time may be spent in efforts supporting the Talent Acquisition (TA) team and candidate experience (e.g. pre-screening, scheduling interviews, and communicating with Hiring Managers and candidates).
Responsibilities
  • Provide end-to-end recruitment operational support for the Talent Acquisition Team.
  • Schedule interviews, communicate interview details, provide necessary information, and ensure a positive interview and selection experience.
  • Serve as the main point of contact for candidates throughout the recruitment process.
  • Arrange interview logistics, including air and hotel reservations as needed.
  • Create offer letters and send them to candidates to begin the onboarding process.
  • Ensure that new hires complete all necessary onboarding documentation accurately and in a timely manner.
  • Collaborate with TA/IT/HR by ensuring all hires have a smooth onboarding process.
  • Update the applicant tracking system daily to ensure candidates are immediately processed, dispositioned appropriately, and ensure ATS and requisition details are accurate.
  • Review background test results for new hires and escalate them as needed to the TA Leadership team for further consideration.
  • Assist recruitment team with customized screening and initial contact of applicants to determine qualification and interest level, as needed.
  • Oversee the temporary staffing process by sourcing candidates through temporary staffing agencies, facilitating their introduction to hiring leaders, and managing the onboarding of temporary staff members.
  • Provide support to a variety of recruitment projects.
  • Maintain comprehensive knowledge of recruitment, employment, compensation, benefits, pay administration, and other related organization policies and procedures.
  • Serve as a resource for recruitment policies, procedures, and practices to hiring managers, HR staff and others.
  • Partner with the HR Compliance & Immigration for any recruitment related responsibilities, re-certification process, and responding to inquiries related as needed.
  • Assist with the creation and maintenance of various recruiting materials and reports (e.g. new hire documents).
  • Identify opportunities for improving candidate experience and partners with T.A. management in making the necessary changes.
  • Provide feedback related to recruitment policies and practices timely and consistently back to the T.A. management team.
  • Provide a high level of customer service.
  • Attend and participate in job fairs, community activities and other public and department related recruiting events, as needed.
  • Other duties as assigned and modified at the manager’s discretion.
Qualifications
  • High School Diploma. Bachelor’s Degree preferred.
  • Two years of processing a high volume of administrative transactions.
  • Two years of previous experience working in a fast-paced, high-growth Talent Acquisition Department for either an agency or in-house capacity.
  • Experience with an Application Tracking System (iCIMS and UltiPro experience is a plus).
  • Strong attention-to-detail/high-level of accuracy.
  • Stellar verbal and written communication skills. Solid understanding of the need to close the loop with different parties (Hiring Managers, Recruiters, New Hires, etc.) on different hiring statuses.
  • Comfortable working in a busy environment and in dealing with ambiguity at times.
  • Ability to interact effectively with all levels in the organization and external clients and represent the organization and the Talent Acquisition Department in a positive and professional manner.
  • Ability to multi-task and oversee multiple candidates simultaneously who are in distinct phases of the recruitment process.
  • Maintain confidential information and possess the judgment to escalate issues appropriately.
  • Good problem-solving abilities and the ability to troubleshoot issues independently and drive them to closure with minimal supervision.
  • Ability to work variable and flexible hours, as needed.
  • Strong proficiency with Microsoft Office Applications (Outlook, Word, Excel, PowerPoint).
  • Familiarity with relevant employment and HR laws.
CERTIFICATIONS, LICENSES, AND/OR REGISTRATION
  • SHRM-CP/SCP; PHR/SPHR preferred.
