- Prepare reports, presentations, and correspondence as required.
- Professionally handle and prioritize incoming emails.
- Manage departmental contact lists efficiently.
- Update daily transaction records and prompt relevant personnel for necessary follow-ups or payments.
- Conduct research and gather information as requested by the team.
- Attend daily meetings, take down minutes of the meeting, and ensure follow-up with relevant team members.
- Provide support in training new team members on processes and procedures.
- Perform other ad hoc tasks as assigned.
- Perform data entry, data cleansing, and data organization tasks.
- Maintain and update databases, ensuring accuracy and completeness.
- Generate reports and analyze data to support decision-making processes.
- Data Entry and working with applications like Google Sheets, ClickUp, and Dear Inventory.
- Organize and maintain electronic files, documents, and databases.
- Maintain confidentiality and security of sensitive data at all times.
- Assist in managing numerous projects at once.
- Consistently create Standard Operating Procedures (SOPs) for directions in executing tasks.
- Collaborate with team members to streamline workflows and improve efficiency.
- Track project timelines and milestones, ensuring deadlines are met.
- Participate in brainstorming sessions and contribute ideas for process improvement.
- Minimum of six (6) months of experience as a Virtual Assistant.
- Fresh graduates are also encouraged to apply.
- Excellent English written and verbal communication skills.
- A Bachelor’s degree in Engineering, Information Technology, Computer Science, Business Management, or a related field.
- Strong organizational and follow-up skills.
- Comfortable with change and enjoys iterative processes.
- Proficient in using technical software, project management tools (e.g., ClickUp, Airtable), and other relevant applications.
- Capable of managing emails, calendars, and data effectively.
- Demonstrates strong time management skills and the ability to multitask.
- Adaptable to working in a fast-paced environment.
- Reliable Laptop or Desktop Computer.
- Stable and high-speed internet connection.
- Power source and backup internet connection in case of electricity interruptions.
