- Provide general administrative, data entry, and clerical support
- Light accounting including checking daily invoices and ensuring payments are entered correctly.
- Run daily reports
- Prepare installation cost sheet
- Assist in checking price and availability for parts and equipment from various vendors and prepare estimates to customers.
- Process permits for installation jobs
- Backup on answering phones - when multiple calls come in at same time and when management is in meetings, out of office/vacation, etc.
- Assist in Booking, scheduling, and dispatching service calls and appointments using Google Calendar and ServiceTitan
- Calendar management
- Answer incoming inquiries from email, Yelp, Google, and Angi's List.
- Strong administrative skills with proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint)
- Experience with QuickBooks or other accounting software is a plus
- Dispatching experience is a plus.
- ServiceTitan experience is a plus
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong attention to detail and accuracy in data entry and record keeping
- Ability to handle multiple phone lines and direct calls appropriately
- Customer service-oriented with excellent communication skills, both verbal and written
- Familiarity with Google Suite (Gmail, Google Docs, Google Sheets) is preferred
- Ability to work independently as well as part of a team
- Reliable and dependable - our office hours are from 7:30AM-5PM Mon-Friday. Must be able to arrive as early as 7:30AM and stay til 5PM during busy peak season.
- The pay is commensurate with experience required for the job.
