Number of openings: 1 paxPRIMARY RESPONSIBILITIES:Finance & Account:
  • Maintain payments documents in proper and tidy condition;
  • Monitor and compile site petty cash payment in softcopy and hardcopy, filing all bills/receipts/invoice and payment vouchers to KK office. Prepare reconciliation on the balance and reimbursement;
  • Receiving petty cash claim from all staffs and prepare voucher for payment then submit to manager for approval and payments;
  • Key in invoices payments, cash and outstation claims and journal vouchers (JV) in monthly and annual accounts until preparation of the financial statement including the notes to the accounts for management review and decision making;
  • Receive order for lab consumables, prepare PO for supplier and receiving invoices/bills from suppliers, matching with PO and KIV for payment in the following month;
  • Assisting manager in liaising with external auditors and local authorities (EPF/SOCSO/IRB) including other government departments and section for any required tasks and works;
  • Assisting the manager on any other finance and account's tasks whenever needed.
HR & Admin:
  • Assist the manager in recruiting process, such as dealing with advertisement in local newspaper or online job's platform, compiling incoming candidate's documents and pass to manager or department manager for screening, contacting shortlisted candidates for interview arrangement and prepare forms during the interview process, arranging newly recruited staff orientation flow, registration of society and hospital's ID, registration with insurance, EPF, Socso and IRB (if applicable);
  • Received staff annual leave form, forward to respective manager for approval, and up-date staff leave monitoring worksheet and prepare monthly leave report for reviewing;
  • Maintain proper filling system and organize stationery purchase and consumption log book;
  • Record & monitor Society's assets listing and update on repair or maintenance (PPM) required on monthly or annually;
  • Prepare draft & typing all letters from society and forward to the manager for proof-read before submitting to Chairman or Project's PI for signature and submission;
  • Prepare any drafts and form of requirement for any other society's projects for completion, review, and submission;
  • Assist the manager in monitoring society's vehicles insurance and road tax expiry date and arrange accordingly with the insurance agent and authority for renewal process;
  • Taking charge of air ticket and hotel booking that required for staff going outstation, arrange payment and notify respective staffs on the purchase / booking made, follow up with outstation claim form once back in office for reimbursement or budget refund;
  • Liaise with cleaners and roomkeepers on offices/lab cleanliness and working condition, whenever repair or service in required, deal with hospital support service for action;
  • Assisting the team members in organizing conference / workshop with working together with the society committee members in all aspect required;
  • Taking minutes in every staff's meeting for filing and future reference.
SELECTION CRITERIA:
  • Minimum 2 year working experience in book-keeping or accounting field and human resource or business management;
  • Minimum Diploma holder in Accounting, Finance, Human Resource, Business Admin, or related field;
  • Computer literate in word processing and spreadsheet, report preparation, letters typing and organizing;
  • Good organizational skills, able to interact with all level of people, punctuality, ability to solve problems and giving ideas, and matured;
  • Good driving skills with minimum having 'D' license, willing to travel outstation and experience in driving outstation using motorcar and 4WD pickup;
  • Matured personality, good attitude, respect to others, hardworking and willing to help other team members, able to work independently with minimum supervision.
Ability to start sooner will be an added advantage.
