This position requires a high level of expertise in payroll processing, compliance, and communication. The Senior Payroll Specialist will be responsible for ensuring accurate and timely processing of payroll, compliance with relevant laws and regulations, and providing leadership and support to the entire payroll team. This position requires a balance of technical expertise, leadership skills, local payroll process proficiency and a commitment to maintaining high standards in payroll processing.Main Responsibilities:Payroll Processing:
  • Oversee the end-to-end payroll processing cycle, including collecting and verifying timekeeping information, calculating wages, and ensuring accurate deductions and withholdings.
  • Execute payroll runs on a regular schedule, ensuring timely and accurate disbursement of salaries and wages to employees.
  • Address and resolve payroll discrepancies and issues in a timely manner.
Compliance and Regulations:
  • Stay abreast of local, state, and federal payroll regulations and ensure that payroll processes comply with relevant laws.
  • Implement and update payroll policies and procedures to align with changing regulations.
  • Prepare and submit payroll-related reports to regulatory authorities as required.
Team Leadership and Support:
  • Provide leadership and guidance to the payroll team, fostering a collaborative and efficient work environment.
  • Train and mentor junior payroll staff, ensuring their professional development.
  • Act as a point of escalation for complex payroll issues and provide resolutions.
Audit and Reconciliation:
  • Conduct regular audits of payroll data to ensure accuracy and compliance.
  • Reconcile payroll accounts and resolve discrepancies in a timely manner.
  • Collaborate with internal and external auditors during payroll audits.
Technology and System Management:
  • Utilise payroll software and systems to streamline processes and enhance efficiency.
  • Work closely with IT to implement system upgrades and improvements.
  • Troubleshoot and resolve technical issues related to payroll systems.
Employee Communication:
  • Respond to employee inquiries and concerns regarding payroll matters.
  • Train employees on payroll policies, procedures, and self-service options.
  • Ensure clear and effective communication regarding changes to payroll processes.
Reporting and Analysis:
  • Generate and analyse payroll reports to support decision-making and strategic planning.
  • Provide insights into payroll trends and recommend improvements to enhance efficiency.

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Several years of experience in payroll processing, with at least 2-3 years in a senior or supervisory role.
  • In-depth knowledge of payroll regulations, tax laws, Maltese employment law and compliance requirements.
  • Strong analytical and problem-solving skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in payroll software (ideally Dakar) and MS Office applications, advanced excel knowledge.
  • Strong organizational and time management abilities
  • Ability to maintain accuracy while performing the tasks given and able to work under pressure and meet deadlines
  • Ability to work independently and collaboratively in a team environment
