Designation: Asst. Manager - Production Department: Production & Operations Reporting to HOD This role will mainly focus on managing various events in the India region & will be responsible for managing all aspects of event planning and production for Serendipity Arts Festival, including vendor coordination, logistics, and on-site execution. They will work closely with the production department, cross-functional teams & vendors to ensure successful events. 1. Operations a. Develop and execute detailed production plans, ensuring seamless event delivery. Collaborate with senior management to align production strategies. b. Responsible for managing on-ground operations and festival Venue Management. c. Should be able to manage executing & planning small to medium scale calendar planned events. d. Inter-department (Programming, marketing, finance, logistics, etc.) co-ordination for project planning, execution & closure. e. Responsible for creating & drafting various production-programming sheets. f. Coordinate technical requirements such as audio-visual setups, lighting, and stage design. g. Liaise with vendors and suppliers for equipment and technical support. h. Assist in monitor and control production expenses to ensure adherence to budget constraints. i. Sourcing & negotiate with vendors for production - related services & equipment. j. Build and maintain strong relationships with production vendors for reliability and cost-effectiveness. k. Manage Junior Production Personnels in the department, fostering a culture of collaboration and excellence. l. Manage & Assist in SAF Inventory & Warehouse Management 2. Quality / Process a. Should be adept in working & creating Excel, PDF & PowerPoint. b. Responsible to maintain production timelines & closures as per the deadlines planned by the manager. c. Responsible to creating & drafting all the vendor / supplier's contracts & Work Orders towards production. d. Should have experience in managing Pre-Post Production processes. e. Responsible to draft & maintain Work Order/Purchase Order/Performa Invoices/Invoices of various agencies in Production. f. Should have experience in managing inventory. While warehouse management experience will be a plus point. g. Tech Savvy & understand market research. Research & evaluate new technologies to enhance operational efficiency. h. Explore innovative solutions to improve the overall event management process. 3. Financials a. Responsible to prepare comprehensive reports for senior management with insights and recommendations. b. Implement cost-saving measures while maintaining production quality. 4. Qualification Requirement a. 5-7 years of relevant experience into Exhibitions, Live events, Corporate Events etc. (Mandatory requirement) b. Graduation degree. Degree in Event or Hotel Management preferred. c. Should have prior understanding & knowledge of Event Management Industry practices & should have worked on the agency side. d. Expected to manage & adhere to processes & research best industry practices. e. Expected to be a team player and assist in cross-departmental function. f. Required to have fluent communication skills. While, having prior experience of working in a corporate environment will be added advantage. g.
