- Controlling of all documentation related activities.
- Maintain incoming and outgoing customer/ vendor documents.
- Performs quality standard check on documents by following document control processes.
- Manage, store, and retrieve engineering technical documents & drawings.
- Work directly or indirectly with the responsible people to set up all planned native and PDF files in time.
- Control all aspects of project documentation on multiple simultaneous projects, utilizing various control methods/systems (Workflow methods).
- Maintain and update Project Document Control Index, controls the revisions.
- Maintain weekly report for deliverables, pending and delay document report, manual log Reports, On time deliverables reports.
- Extracting & Updating Weekly status report for Engineering Workflow.
- Track O&M Manuals & Preparation with respect to Manual Checklist.
- Work in strict co-operation with the Project Manager & Project Engineers to ensure project progress status integration.
- Ensure all templates used with the department conform to the Company standard.
- Provide Document Management System, user support and functionality training.
- Administer security permissions for document management systems.
- Interface with multiple disciplines to provide support and clear guidance to deliver documentations align to all Information Management Specifications.
- Manage lifecycle of documentation and ensure alignment to processes and procedures.
- Perms standard quality checks and ensure appropriate approvals are obtained prior to publishing documentation.
- Maintain revision history for controlled documents.
- Contribute to conformance to the Document Governance process by identifying documents non-conformant with the requirements.
- Accountable for the close out of IM, DC MoC pre/post implication actions.
- Coordinate the provision and update of asset based Critical Hardcopy documentation.
- Input to IM product backlog, maintain reports and any trackers used on the project.
- Practical / hands-on experience in document management roles in EPC projects of Minimum 5 years, experienced with document control using digital tools, maintenance of electronic and physical documents, should be proficient with using tools such as EDMS, FTP, Shared Drives, SharePoint, Cloud Drives, ISO.
- Basic understanding of Engineering / Procurement / Construction / Commissioning documents.

- Detail-oriented, dependable, and trustworthy.
- Sound technical knowledge and experience of Document Management Systems.
- Ability to provide Document Management administration for multiple cross-functional users.
- Understanding of documentation lifecycle.
- Excellent interpersonal skills, including the ability to interact effectively with people at all levels in the field and office as well as outside of the company are required.
- Excellent MS Suite software knowledge.
- Excellent English skills: knowledge of German to be confirmed.
- Good working knowledge of Adobe Acrobat.
- Familiar with e-Document management systems like Wrench, Aconex etc
