No.: 318/PJE/BP2/EDB/HKTDCThe Hong Kong Trade Development Council (HKTDC), the statutory organisation promoting Hong Kong’s external trade, seeks high calibre candidates to join the Exhibitions & Digital Business Department (EDB). The department is responsible for strengthening the hktdc.com Sourcing to offer a seamless online-offline sourcing experience amongst quality international buyers and suppliers.Responsibilities:

Provide support for onsite operations and logistics during trade and public fair
To assist project manager in the overall project planning and coordination
To coordinate on logistical arrangements and to provide onsite and online support for all kinds of fair events including opening ceremonies, gala evenings, networking cocktails, conferences, seminars, webinars and design/ awards competitions, etc.
To follow up on and to proof-read graphics and artwork in relations to backdrop, onsite signages, souvenirs, display, award certificates, etc.
To work with the event venue, service vendors and internal departments on the required technical setup for different events
To facilitate recruitment campaign including preparing marketing materials, DMs/eDMs, etc. and to monitor the feedback of promotion
To liaise with speakers on profile and PowerPoint collection and to follow up with participants on payment, if any
To perform administrative duties such as consolidating reports and updating event data, etc.
Provide secretarial and administrative support to Section Head and the team
To process procurement for the team, monitor storage and take stock of the team’s materials and capital goods
To coordinate with administrative assistants of other teams on cross-departmental meetings, both internally and externally, preparing and handling business correspondence and documents
To carry out ad-hoc duties, contributing to the overall success of projects

Requirements: 

University graduate with minimum 2 years’ solid experience, preferably in the events field with administrative or secretarial experience
Proactive, out-going personality, self-initiated and very attentive to details
Strong command in English and Chinese. Fluent in Putonghua
Good communications, presentation and interpersonal skills
Capable to work as team to deliver quality work within tight timeframe and limited resources
Proficiency in MS applications and Chinese word-processing
Customer-oriented, good team spirit and willing to work under pressure to meet tight deadlines
Willing to work overtime and occasionally on public holidays

Remuneration and Benefits:The successful candidate will be appointed on a fixed-term contract basis, renewable subject to operational needs.
