This Opportunity
We are on the lookout for a motivated Document Controller / Administrative Assistant to join our Subsea Projects & Operations division, reporting to the Engineering Manager.
This is a multifaceted role where you will be responsible for managing all document control functions for the subsea project and operations team (internally and externally), whilst also coordinating / undertaking a variety of general administration tasks to support the operational effectiveness of the Subsea Projects & Operations division.Your day to day may include:
  • Implementation of a new Document Management System (DMS), after which you’ll be the go-to technical expert on all matters related to the DMS.
  • Management of all document control functions for the Subsea Project and Operations team.
  • Maintaining the integrity of the DMS, including project specific and internal document data registers, ensuring they are successful and effective to use.
  • Providing quality checks on, and ad-hoc formatting of documents for both project (external) and internal use, ensuring they match MMA document standards and corporate style guides.
  • Providing administrative assistance for the compilation of project data, packaged to meet client and internal requirements.
  • Assist with production of e-learning courses / videos / training material to support use of document control system and other Subsea service scopes as required.
  • Event coordination.
Qualifications and skills:
  • Western Australian Certificate of Education or equivalent
  • MS Office Suite (Word, Excel, Project, PowerPoint, Visio).
Essential Experience:
  • Proficiency with Microsoft Office suite, particularly MS Word and Excel.
  • Proficiency with Adobe Acrobat PDF writer.
  • Proficiency with text editors such as Textpad and Notepad++
  • Proficiency with proprietary document control systems (for instance Pro-Arc, Aconex, SharePoint).
  • Microsoft Office Specialist (MOS) certification will be highly regarded.
Desirable Experience:
  • Offshore or onshore survey reporting experience.
  • Exposure to the oil and gas, or other resource industry.
Key competencies:
  • Strong data management skills.
  • High level of attention to detail.
  • Ability to interpret what is required and actively.
  • Strong work ethic.
