Requirements and skills
  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
  • Knowledge of Office Administrator responsibilities, systems, and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands-on experience with office machines (e.g. fax machines and printers)
  • Familiarity with email scheduling tools, like Email Scheduler
  • Excellent time management skills and ability to multi-task and prioritize work
  • Fluency in English and Polish, and knowledge of Ukrainian will be a plus
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with the ability to suggest improvements
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
We are looking for an Office Manager or Office Administrator who is highly energized and service- and detail-oriented in a growing international cross-border e-commerce logistics business.Office manager duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors, and providing general administrative support to our employees. Previous experience as a Front Office Manager or Office Administrator would be an advantage. A successful Office Manager should also have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to accurately handle administrative duties.Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations. ,[Responsibilities, , Serve as the point person for office manager duties including:, § Maintenance, § Mailing, § Supplies procurement, § Equipment management, § Handling Bills, § Running errands and handling shopping needs, , Schedule and coordinate meetings and appointments, Organize and manage databases, ensuring data accuracy and accessibility., Booking transport and accommodation, Organize the office layout and order stationery and equipment, Arrange transport and accommodation bookings as needed., Coordinate and oversee company events and conferences., Manage office layout and ensure adequate stock of stationery and IT equipment., Maintain office condition and arranged necessary repairs., Collaborate with HR to update and enforce office policies as needed., Implement and maintain office operations procedures for efficiency., Ensure timely invoicing and payments for all office-related expenses., Handle correspondence, complaints, and queries promptly and professionally., Negotiate contracts and prices with office vendors and service providers., Supervise administrative staff and monitor their work performance., Process invoices and manage office budgets efficiently., Establish and maintain office administrative systems and procedures., Coordinate induction programs for new employees., Ensure compliance with health and safety policies and regulations., Provide general support to visitors and employees., Act as a point of contact for employee queries regarding office management issues.] Requirements: Logistics, Office management, MS Office, MS Outlook, Good work organization, Communication skills, Degree Tools: .
